Office Assistant- Arts and Humanities The Arts and Humanities Pathway of Tidewater Community College is seeking a part-time Administrative Assistant to provide administrative support housed in the Visual Arts and Design Center on the Norfolk campus. The successful candidate shall possess office experience, preferably in an academic setting. Confidentiality is a must as the successful candidate will have access to confidential information. This position requires someone who is detail-oriented, organized and interested in learning the state procurement system. Must have the ability to change priorities as needed, work independently, and read and create Excel documents and other correspondence as requested. Functional Responsibilities Provide support to both sides of the Pathway, based in Virginia Beach and Norfolk, while working from the Norfolk campus. Assist administrative assistants and academic deans with entering schedules, procurement, and textbook orders. Maintain accurate/detailed files as related to purchasing, expenditures, inventories, and student data. Order, stock, and inventory supplies from the college warehouse. Prepare meeting minutes and outgoing correspondence. Schedule appointments and meetings. Work with other departments throughout the college. Utilize excellent customer service skills while interacting with a variety of constituencies such as students, faculty, staff, and administration. Special Assignments - May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor. KSA's/Required Qualifications - Demonstrated ability to organize and coordinate work within schedule constraints and handle emergent requirements in a timely manner. Resourceful and able to work independently in the absence of supervisor. Moderate to excellent ability to use the applications in the Microsoft Office Suite to include Word, Outlook, Adobe PDF, and Excel. Demonstrated ability to effectively communicate orally and in writing. Demonstrated ability to create and keep databases for use in tracking information such as confidential student data, fiscal expenditures, and inventories.
