This role plays a key part in ensuring that work moves efficiently from intake through discovery, Statement of Work (SOW) development, and handoff for project execution. This role focuses on coordination, documentation, and follow-through across structured processes and stakeholder interactions. This role operates within a developing PMO environment and will support evolving processes and systems as the team continues to scale.Essential Job FunctionsSupport the execution of PMO workflows across intake, discovery, and SOW development to ensure work progresses efficiently and consistentlyPrepare discovery materials, including agendas, pre-reads, and supporting documentation, to enable effective stakeholder discussionsCapture notes, action items, dependencies, and key decisions from discovery meetings, ensuring outputs are clearly documented and actionableDraft Statements of Work (SOWs) using standardized templates, incorporating stakeholder input and aligning on scope, timelines, and responsibilitiesCoordinate SOW review and approval processes, tracking outstanding signoffs and following up with stakeholders to ensure timely completionMaintain and update project information in workflow tools (e.g., Jira), ensuring required fields, metrics, and documentation are accurate and completeSupport alignment across project tracking systems, reporting outputs, and documentation to ensure consistency and visibilityCoordinate recurring PMO communications, including newsletters and DATS Portal updates, ensuring content is collected, formatted, and delivered on scheduleManage routine follow-ups, reminders, and outreach to ensure timely completion of PMO tasks and workflowsIdentify gaps or missing information in project inputs and escalate to PMO leadership for clarification and resolutionEducation And/or Work Experience RequirementsBachelor’s degree required, preferably in business, economics, finance, operations, or a related field1–3 years of experience in project coordination, operations, consulting, or a similar role (preferred)Exposure to meeting-based or stakeholder-facing environmentsFamiliarity with financial services, private markets, or a professional services environment is a plusRequired Knowledge, Skills, And AbilitiesStrong written and verbal communication skills, with the ability to clearly capture and convey information in meetings and documentationAbility to listen actively, ask clarifying questions, and synthesize inputs from multiple stakeholdersStrong organizational and task management skills, with the ability to track deliverables, dependencies, and follow-ups across multiple workstreamsHigh attention to detail, particularly when working with structured templates, documentation, and project dataAbility to manage competing priorities and maintain progress in a fast-paced, deadline-driven environmentComfort participating in professional discussions and group settings, with willingness to engage and build confidence over timeAbility to follow defined processes while identifying gaps or inconsistencies and escalating as neededProficiency in Microsoft Excel, Word, and PowerPoint for tracking, documentation, and presentation of structured informationDemonstrated accountability and follow-through on assigned tasksAbility to learn new tools, systems, and processes and apply them consistently in an evolving environmentOther AttributesDemonstrates a growth-oriented mindset and openness to feedbackComfortable working in a developing and evolving team structureShows initiative in identifying issues, asking questions, and seeking clarityMaintains a detail-oriented and process-driven approach to workCollaborative and responsive when working across teams and stakeholdersSalary Range - $70,000 - $75,000The salary range is an estimate of pay for this position. Actual pay may vary depending on job-related factors that can include location, education, skill, and experience.
