You'll be the go-to for all things office operations, while also playing a big role in shaping the employee experience across VPL. From keeping the office running like a well-oiled machine to making sure our remote team feels just as connected, this role is all about creating an environment people want to be part of. If you're someone who notices the little things, solves problems before they become problems, and enjoys bringing a bit of energy and fun into the workplace this is your role.What You'll DoOffice Operations & Workplace Management (Primary Focus)Own and manage the day-to-day operations of the office to keep everything running smoothlyBe the main point of contact for all office related needs (if something's off, you're on it)Keep the office stocked, organized, and welcoming. Snacks included (arguably the most important part)Maintain shared spaces like the kitchen, conference rooms, and common areas so they're always ready for useManage incoming mail, packages, and deliveriesLogistics, Vendors & Office Systems Partner with building management to handle maintenance requests and office needsManage vendor relationships (Verizon, FedEx, office suppliers, etc.)Coordinate deliveries, services, and recurring office needsKeep things running efficiently (and cost-effectively)Hybrid Workplace & Employee Experience Help create a consistent and engaging experience for both in-office and remote employeesCoordinate onboarding logistics (welcome materials, shipping equipment/swag)Partner with HR and IT to make Day 1 smooth and organized for every new hireSupport remote employees by coordinating shipments, recognition moments, and company touchpointsKeep a pulse on what's working (and what's not) and suggest ways to improve the employee experienceEmployee Engagement & Culture Plan and coordinate office lunches, team events, and engagement activitiesHelp keep our employee run committees on the right path (fun team, community involvement, and wellness)Help bring energy to the office and create moments that make people enjoy coming inSupport a culture that feels welcoming, inclusive, and connectedMeetings, Events & Office Experience Coordinate logistics for in-office meetings, leadership visits, and company eventsSet up and reset spaces so everything runs smoothlySupport all-hands, team gatherings, and occasional special eventsWhat You'll Bring Strong organizational skills and attention to detail (you love a good system)Ability to juggle multiple prioritiesA proactive mindset you don't wait for things to break, you fix them before they doStrong communication skills and comfort working across teamsA positive, team-first attitude you genuinely enjoy helping othersA natural eye for creating organized, welcoming spaces
