We are seeking an organized, proactive Permit Coordinator / Admin to keep our project pipeline running seamlessly from inception to completion. Overview Join our dynamic team as a Permit Coordinator/Admin, where your organizational prowess and administrative expertise will keep our operations running smoothly and efficiently. In this dual-function role, you will oversee project documentation, manage permit applications across various jurisdictions, and maintain clear communications among project managers, sub-contractors, and city/county officials. Your proactive approach and attention to detail will ensure compliance, streamline workflows, and support the overall success of our projects. Duties Research, prepare and track permit and utility applications, renewals, and approvals across multiple departments. Review plans and documentation to ensure submittal packages meet municipal requirements. Process and organize project paperwork, including Change Orders, Submittals, Requests for Information (RFIs) and Certificates of Insurance (COIs). Maintain organized filing systems for permits, documents, and correspondence, ensuring easy retrieval and confidentiality. Assist with data entry tasks using Microsoft Office programs and QuickBooks for bookkeeping and record keeping. Support office management functions including scheduling appointments, managing calendars, and assisting with general administrative duties. Support client communication efforts through phone support, email correspondence, and follow-up activities. Provide personal assistant support to team members as needed (including occasional errands) to facilitate smooth daily operations. Experience Previous office experience in administrative or clerical roles with a focus on permit coordination or project support preferred. Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and QuickBooks or similar bookkeeping software. Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment. Demonstrated experience in data entry, proofreading, filing, and managing multiple responsibilities simultaneously. Bilingual capabilities are a plus (but not necessary) to enhance client interactions and team collaboration. Florida Notary (not necessary).
