Interested in joining our successful Garden City Team?Position Summary: The Clinical Services Coordinator provides comprehensive administrative and operational support to the Clinical Services Department and all interdisciplinary teams, including Care Management, Utilization Management, Social Work, Pharmacy, Education, and Population Health. This role functions as a key operational partner, supporting day-to-day departmental activities while assisting leadership with strategic initiatives, reporting, coordination, and project management.The Clinical Services Coordinator serves as a central point of coordination for clinical and non-clinical team members, ensuring efficient communication, organized workflows, and timely execution of departmental priorities. This position requires a highly organized, proactive individual who is comfortable working in a fast-paced healthcare environment and capable of managing both administrative responsibilities and operational details.Essential Position Functions/ResponsibilitiesProvide high-level administrative support to Clinical Services leadership and interdisciplinary teamsServe as a central point of contact for internal and external stakeholders across Clinical ServicesManage calendars, schedule meetings, and coordinate interdisciplinary case conferences and committee meetingsPrepare agendas, facilitate meetings as needed, capture meeting minutes, and track follow-up action itemsCoordinate departmental communications, announcements, and distribution listsMaintain department rosters, contact lists, and organizational chartsPrepare correspondence, reports, presentations, spreadsheets, and other materials as requestedHandle confidential and sensitive information with discretion and professionalismSupport cross-functional initiatives and departmental projects across Clinical Services teamsAssist with development and maintenance of workflows, policies, procedures, and standard operating documentsTrack project timelines, deliverables, and action items to ensure timely completionMaintain project tracking tools, dashboards, and documentationAssist leadership with strategic planning support and operational coordinationParticipate in special projects and departmental initiatives as assignedProvide administrative support for Care Management, Behavioral Health, Utilization Management, and other clinical teamsAssist with coordination of case conferences, interdisciplinary team meetings, and program meetingsGenerate and distribute recurring reports including caseload reports, discharge reports, and program tracking reportsSupport documentation, tracking, and reporting requirements for clinical programs including SNP, chronic disease programs, and care management initiativesAssist with referral coordination and tracking for clinical services and community-based programsSupport data entry and documentation within care management and clinical systemsGenerate recurring and ad hoc reports for Clinical Services leadershipAssist with audit preparation, data collection, and documentation reviewMaintain electronic filing systems and document repositoriesSupport policy and procedure updates and document managementTrack departmental metrics, deliverables, and reporting requirementsAssist with regulatory and health plan reporting supportCoordinate onboarding logistics for new Clinical Services staffSchedule training sessions and system orientationsAssist with onboarding documentation and access coordinationSupport team scheduling and coverage coordination as neededRespond to routine and non-routine requests for informationCoordinate telephone communications and follow-up requestsParticipates in special projects, process improvement initiatives, and departmental activities as assigned.Qualification RequirementsSkills, Knowledge, AbilitiesStrong organizational, planning, and time management skillsExcellent attention to detail and accuracyAbility to manage multiple priorities in a fast-paced environmentStrong verbal and written communication skillsDemonstrated customer service and interpersonal skillsAbility to work independently and within interdisciplinary teamsStrong problem-solving and critical thinking skillsDemonstrated professionalism, discretion, and confidentialityProficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint; Visio preferred)Experience with reporting tools and tracking systems preferredFamiliarity with healthcare terminology and clinical operations preferredTraining/EducationHigh School diploma or equivalent requiredAssociate's or Bachelor's degree in Healthcare Administration, Business, or related field preferredBusiness Technology or administrative training preferredExperienceMinimum 2–5 years administrative experience requiredExperience supporting healthcare, clinical, or care management teams strongly preferredExperience supporting senior leadership or interdisciplinary teams preferredExperience with healthcare reporting, documentation, and project coordination preferredBase Compensation; $45,000 - $55,000 (21.63 - $26.44 per hour)Equal Employment Opportunity StatementHealthCare Partners, MSO is committed to fostering a diverse and inclusive workplace.
