DescriptionThe Medical Records and Central Supplies Clerk is responsible for maintaining accurate, secure medical records while managing the inventory, ordering, and distribution of medical and office supplies. This role ensures compliance with healthcare regulations, supports clinical staff, and helps maintain efficient day-to-day operations.Medical Records ResponsibilitiesMaintain, organize, and manage patient medical records in accordance with HIPAA and organizational policiesAccurately file, retrieve, and archive electronic and/or paper medical recordsEnsure completeness and accuracy of documentation before filingProcess requests for medical records, including releases of information, subpoenas, and continuity-of-care requestsTrack and log medical records activity while maintaining confidentialityAssist with audits, quality reviews, and compliance requirementsCoordinate record retention and destruction according to regulatory guidelinesCentral Supplies ResponsibilitiesMonitor inventory levels of medical, clinical, and office suppliesOrder, receive, stock, and distribute supplies as neededMaintain stockrooms and supply areas in an organized and sanitary mannerCheck expiration dates and rotate stock appropriatelyCoordinate with vendors and manage supply-related documentationTrack usage patterns and assist with cost-control initiativesEnsure supplies meet safety and infection control standardsQualificationsEducationHigh school diploma or equivalent requiredCertificate or coursework in Health Information Management or Medical Office Administration preferredExperience1–2 years of experience in a healthcare setting preferredExperience with medical records systems and inventory management a plusKnowledge, Skills, and AbilitiesKnowledge of HIPAA and patient confidentiality requirementsStrong organizational and time-management skillsAttention to detail and accuracyBasic computer skills, including EHR and inventory systemsAbility to lift and move supply boxes (typically up to 30–40 lbs)Effective communication and teamwork skillsWork EnvironmentHealthcare facility (clinic, outpatient center, or hospital)Regular exposure to medical and office suppliesMay require standing, walking, and light lifting throughout the day
