Senior Property Clerk The University of Southern Mississippi is currently accepting applications for the position of Senior Property Clerk. The University will not sponsor applicants for work visas (e.g., H-1B). Job Summary Prepares and maintains the necessary data for recording USM's personal property. Responsible for recording the acquisition of property, the tagging of property, and the distribution of property. Enters new assets into the Property Accounting software (AssetWorks), cross-references equipment purchases with the Monthly Summary Equipment Report, and assists in conducting inventory audits. Primary Job Duties and Responsibilities Works with the Property Clerk to ensure all equipment is being tagged in a timely manner. Tags all equipment on our regional campuses as well as assisting with the Hattiesburg campus. Inputs all new assets (additions) into Asset Works while maintaining complete accuracy. (Includes PO #, Grant #, Category, Acquisition Date and Cost, and proper Location Code.) Runs a Monthly Equipment Summary Report and cross references to the additions to ensure all paid assets are accounted for and have been tagged in the current month. Reviews and researches outdated purchase orders (old purchase orders received, but without payment being made), and incomplete purchase orders for final resolution. Advises Property Accounting Supervisor of any issues that will require his/her attention. Completes an Acquisition Receipt on each asset tagged on regional campuses and assists with removing asset numbers from assets when returned for repair or transferred to other state or out of state institutions. Maintains documentation of all tags removed until repairs have been returned. Updates information of the repaired item (EX. New serial number) and replaces the tag when returned. Resolves inventory problems for departments, aids administrative personnel needing assistance with property control, assists with exit audits and state audits, and performs other duties as assigned. Minimum Qualifications High school diploma or general education degree (GED) and 1-year related experience and/or training Valid Driver's License (this position requires frequent travel to and from other USM campuses) Knowledge, Skills & Abilities Proficient in Microsoft Word and Excel. Excellent oral and written communication skills. Preferred Qualifications Previous experience with an asset management program.
