The position ensures funding is properly planned and executed, assets are accurately tracked, and procurement activities are coordinated in accordance with FDOT policies and audit requirements.The Business Management Coordinator supports program delivery by connecting funding, procurement, and asset tracking to operational needs while maintaining strong financial and property management controls. Support disciplined financial planning and tracking for program-related budgets Improve funding accuracy through encumbrance and invoice coordination Strengthen asset and property accountability Support timely procurement and deployment of assets Ensure compliance with FDOT financial and property management requirements Improve coordination between business management, operations, and contract development Maintain accurate asset inventory and lifecycle documentation Support predictable delivery through strong financial and asset controlsKey ResponsibilitiesPrepare, monitor, and manage budgets including: FCO, Work Program, CIP, Other program-related funding sourcesForecast, track, and analyze expenditures and variancesMaintain budget tracking tools and reportsSupport development of financial status updates and projectionsMonitor funding utilization and identify potential shortfallsInvoice & Encumbrance CoordinationEnsure correct funds are used during invoice processingReview documentation for accuracy and complianceTrack expenditures against encumbered fundingCoordinate with Contract Development staff on encumbrance timing and contract informationEnter encumbrances for contracts and purchase ordersPartner with Program Administrator on development of encumbrance performance plansMonitor funding balances and contract burn ratesProperty & Asset ManagementManage the property management program and inventory cycleMaintain asset records in AMIS, PMRS, and FLAIRTrack property inventory including: Location, Description, Serial number, ManufacturerLead maintenance of property records and documentation for submissionsCoordinate property inventory reconciliation activitiesOversee property surplus processesEnsure adherence to policy and audit requirementsProcurement & Asset CoordinationCoordinate procurement requests from initiation through completionTrack purchase requests, quotes, and approvalsCoordinate purchase order creation and trackingVerify delivery and completion of purchasesSupport invoice reconciliation and payment documentationCoordinate MOAs, IRRs, and supporting procurement documentationMaintain procurement tracking logs and status updatesProgram Support & ReportingMaintain tracking logs for budgets, procurement, and assetsDevelop status reports for leadershipMonitor procurement timelines and funding usageSupport audit documentation requestsAssist with process improvements for financial and asset workflowsBring your team-focus, adaptability, and commitment to excellence, and we'll help you grow what drives you and deliver the world's most challenging Operations Management projects, together.Here's what you'll needAssociate or Bachelor's degree in Business Administration, Finance, Accounting, Engineering, Engineering Technology, Construction Management, Public Administration, or related fieldMinimum 4 years of experience in budget tracking, financial coordination, procurement support, asset management, or business operationsExperience supporting multi-source funding programsExperience with financial tracking and reportingStrong proficiency in spreadsheet development, tracking tools, and data organizationIdeally, here's what you will also have:Experience supporting transportation or infrastructure programsExperience with FLAIR, AMIS, or PMRS systemsExperience with government procurement and encumbrance processesExperience with property or asset management programsSafety is a core value at Jacobs.
