Operational Manager - Durable Medical Equipment (DME) Position Summary The Operational Manager is responsible for supporting the daily operational functions of the organization while assisting leadership in driving performance, accountability, process improvement, payer growth initiatives, and project execution across departments. This role serves as a key operational leader within the company and acts as the primary support resource to the Director of Operations (DOO). The Operational Manager will oversee/support operational activities, employee management, workflow coordination, and departmental communication to ensure continuity of business operations. This position requires strong leadership, organizational skills, problem-solving abilities, and the ability to operate effectively in a fast-paced and constantly evolving healthcare/DME environment. We are open to candidates without prior DME experience. We are looking for sharp, tech-forward leaders who learn quickly, think systemically, and bring strong people skills. Essential Duties You Will Develop In Operational Leadership • Assist in managing day-to-day operations across multiple departments within the organization. • Support operational workflow oversight to ensure efficiency, productivity, and compliance with company standards. • Monitor departmental performance metrics, identify operational gaps, and assist leadership with corrective action plans. • Serve as operational leadership/support for the DOO. • Help maintain accountability across teams to ensure tasks, goals, and daily responsibilities are completed timely and accurately. • Assist with escalation management and resolution of operational issues affecting patient care, billing, authorizations, intake, or customer service. • Work collaboratively with the Payor Relations team to help expand, strengthen, and improve payer relationships and operational performance with insurance partners. • Assist in identifying opportunities for specialty product expansion and support payer contracting initiatives related to respiratory, mobility, AAC, CRT, and other specialized DME product lines. • Support operational workflows related to nursing home, facility-based, and institutional billing processes, including identifying opportunities to improve reimbursement and operational efficiency. • Assist leadership in evaluating and developing alternative revenue streams and operational opportunities outside traditional DME workflows. Employee Management & Team Support • Manage/Assist with employee oversight, coaching, training, and performance management. • Support managers and supervisors with employee accountability, workflow prioritization, and communication initiatives. • Participate in employee meetings, operational reviews, and departmental check-ins. • Help reinforce company culture focused on accountability, professionalism, collaboration, and continuous improvement. • Assist in onboarding and training initiatives for new employees. • Provide leadership support during staffing shortages, workflow disruptions, or operational challenges. Project Management & Process Improvement • Lead and support operational projects designed to improve efficiency, communication, profitability, and workflow consistency. • Coordinate cross-functional initiatives between departments to ensure successful project execution. • Assist with implementation of new operational processes, SOPs, training programs, and workflow enhancements. • Monitor project timelines, deliverables, and follow-up items to ensure completion. • Identify opportunities for automation, process simplification, and operational improvement. • Assist leadership in developing scalable operational infrastructure to support company growth. • Help drive projects focused on expanding specialty product reimbursement opportunities and improving payer contract performance. • Assist in the development and implementation of operational workflows for nursing home billing, facility partnerships, and other non-traditional revenue channels. • Identify operational and reimbursement opportunities that support company growth through innovative service offerings, strategic partnerships, and expanded payer access. • Collaborate cross-functionally with billing, intake, sales, payer relations, and executive leadership to improve operational scalability and maximize reimbursement opportunities. Compliance & Operational Standards • Ensure operational activities remain compliant with company policies, payer requirements, Medicare guidelines, accreditation standards, and regulatory expectations. • Assist with maintaining SOP documentation and operational process consistency. • Support quality assurance initiatives and operational audits. • Help facilitate communication regarding payer changes, workflow modifications, and operational updates across teams. Qualifications • Demonstrated experience managing employees and driving accountability. • Experience leading operational projects and process improvement initiatives. • Strong communication, organizational, and problem-solving skills. • Ability to work in a fast-paced, changing environment while maintaining professionalism and operational focus. • Proficiency with common business software systems, Microsoft Office, reporting tools, and operational tracking systems. This role requires you can create/build/manipulate data vs just using it. • Comfort with data, dashboards, and operational reporting; ability to learn new systems quickly and identify opportunities for automation and process simplification. Work Environment This position operates within a fast-paced healthcare and DME environment requiring adaptability, professionalism, strong communication, and the ability to respond effectively to changing payer requirements, operational priorities, and organizational needs. Physical Requirements While performing the duties of this position, the employee may be required to sit, stand, and walk for extended periods of time. The employee must be able to regularly communicate effectively both verbally and in writing and must possess the ability to hear and exchange information in person and via telephone or electronic communication. This position requires frequent use of computers, keyboards, phones, and other standard office equipment. The employee must possess adequate visual acuity to perform activities such as viewing computer monitors, reading documents, analyzing reports, and reviewing operational data. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Occasional stooping, bending, twisting, kneeling, crouching, reaching, pushing, and pulling may be required in the performance of job duties. The employee may occasionally lift, carry, and/or move up to 50 pounds. This position may require travel between company locations, customer sites, healthcare facilities, or business meetings. The employee must maintain a valid driver's license and the ability to safely operate a motor vehicle when required.
