Office & Travel AdministratorLocation: Northlake, TX 76247 (On-site)Schedule: 7:00 AM – 4:30 PMPay: $26–$30/hourAbout the RoleWe’re seeking a highly organized and service-oriented Office & Travel Administrator to support both Kodiak and Dilling Group. This role is the central hub for office operations, employee support, and travel coordination—ensuring everything runs smoothly day-to-day.You’ll serve as a key point of contact for employees, customers, and vendors while managing office logistics, coordinating travel and lodging, and supporting administrative functions across two organizations.Key ResponsibilitiesOffice Administration & OperationsManage incoming calls, greet employees, customers, and vendorsCoordinate onboarding logistics for new hires (workspace setup, equipment, supplies)Oversee office operations including shipping/receiving, mail, and package trackingCoordinate building maintenance and repairs with property managementMaintain office cleanliness and manage janitorial servicesSupply & Vendor ManagementOrder and manage office supplies across multiple locationsCoordinate facility needs including cleaning schedules and maintenanceAdministrative SupportSchedule conference rooms and coordinate meetingsSupport leadership with documentation, event preparation, and schedulingAssist with interview coordination and internal communicationTravel CoordinationBook flights, hotels, and rental vehiclesEnsure travel aligns with company policies and budgetsHandle itinerary changes, cancellations, and travel-related issuesReview and approve lodging invoices and billing accuracyJobsite LodgingCoordinate lodging for employees (hotels/apartments)Negotiate rates with vendors and maintain relationshipsEvent CoordinationPlan and execute company events, team-building activities, and annual functionsRecruiting & Employee Support (Kodiak-Focused)Track OSHA certifications and compliance recordsMaintain employee data and support onboarding processesAssist with communication and reporting for Indiana-based employeesQualificationsHigh school diploma required; associate’s degree preferred2+ years of experience in office administration, travel coordination, or similar roleStrong organizational skills and attention to detailAbility to manage multiple priorities across teamsProficiency in Microsoft Office (Outlook, Excel, Word) and/or Google WorkspaceExperience with travel booking platforms and vendor coordination preferredStrong communication and customer service skillsProfessional, reliable, and proactive problem-solverPreferred AttributesExperience supporting construction, operations, or project-based environmentsComfortable working independently while collaborating across teamsAdaptable and able to thrive in a fast-paced environment
