*Overview* Join our dynamic procurement team as a Purchasing Assistant. This energetic position offers the opportunity to support procurement activities, manage vendor relationships, and ensure efficient inventory control. The Purchasing Assistant provides administrative and clerical support to the Purchasing Department and assists with routine purchasing activities, facility moves, new home setup, and vehicle operations. This position helps ensure efficient departmental operations by maintaining records, coordinating services, supporting purchasing processes, and assisting with agency vehicle and equipment management. *Responsibilities:* * Prepare correspondence, reports, spreadsheets, and departmental documentation. * Maintain department calendars and schedule appointments. * Maintain vendor records and obtain quotes as directed. * Process, organize, and maintain purchasing, invoice, and vehicle-related records. * Monitor inventory levels and order designated office and kitchen supplies. * Prepare training materials, forms, and related resources. * Assist with facility moves, new home setup, and cross-departmental requests. * Assist with the pickup and delivery of agency-owned and leased vehicles. * Monitor vehicle maintenance, repairs, inspections, and related documentation. * Maintain vehicle records, including registrations, insurance cards, GPS devices, and E-ZPass transponders. * Track and communicate parking, traffic, and other vehicle violations. * Coordinate vehicle detailing, car wash services, and other fleet-related needs. * Assist with reporting, data tracking, and departmental analysis. * Support the management of agency cell phones and iPads, including activations, returns, and exchanges. * Ensure required forms and acknowledgements are completed and properly filed. * Coordinate repairs and maintenance of office equipment. * Maintain agency filing systems and records. * Provide backup support to the Purchasing Coordinator. * Perform other duties as assigned. *Qualifications/Requirements:* * High School Diploma or equivalent required. * Minimum one (1) year of administrative, clerical, purchasing, or related experience. * Administrative or Secretarial Certificate preferred. * Valid Driver's License and good driving history required. * Proficiency in Microsoft Word, Excel, and data entry applications. * Strong organizational, communication, and customer service skills. * Ability to manage multiple priorities and meet deadlines. * Strong attention to detail and accuracy. * Demonstrated ability to build effective working relationships with internal and external stakeholders. * Ability to maintain confidentiality and exercise sound judgment. * Ability to work effectively with individuals from diverse backgrounds and cultures.
