IT & Business Systems AdministratorPosition SummaryOn Site Personnel is seeking a highly organized, hands-on IT & Business Systems Administrator to manage and support our company’s IT infrastructure, systems, and day-to-day technical operations. This individual will serve as the primary point of contact for all IT-related matters, ensuring the reliability, security, and efficiency of our systems across multiple offices.This role requires a proactive problem-solver who can handle both technical support and operational tasks, including system administration, cybersecurity, equipment management, backend software support, and light marketing/creative assistance.Key ResponsibilitiesIT Systems & InfrastructureAdminister and manage Microsoft 365 environment (user setup, permissions, email security, spam/quarantine monitoring, OneDrive/SharePoint sync issues)Maintain and troubleshoot network connections, internet, and Wi-Fi systemsInstall, configure, and support computers, printers, scanners, and other devicesServe as the main point of contact for all internal IT support and issue resolutionCoordinate with external IT vendors when necessaryCybersecurity, Backup & Risk PreventionImplement and manage cyber risk prevention strategies to protect company systems and dataMonitor and filter spam, phishing, and malicious email attacksManage and maintain antivirus, anti-malware, and endpoint protection systemsEnsure proper data backup procedures, including regular testing of backups and recovery processesPrepare, implement, and continuously update IT emergency response and disaster recovery plansEducate staff on basic cybersecurity awareness and best practicesUser & Access ManagementCreate, maintain, and deactivate user accounts and access permissionsKeep secure and up-to-date records of usernames, passwords, and system access credentialsManage and track software licenses and renewals to ensure complianceMonitor system usage and enforce IT policiesEquipment & Inventory ManagementMaintain a complete and accurate inventory of all IT equipment and assetsTrack assignment, condition, and lifecycle of devices (laptops, desktops, phones, etc.)Procure and set up new equipment as neededCoordinate repairs, replacements, and upgradesSystems & Operational SupportSet up, maintain, and troubleshoot time clock systems (including connectivity and syncing issues)Manage and support phone systems and alarm/security systemsProvide support for internal business software and ensure proper functionalityLearn and become an expert in the company’s internal software systems to diagnose and troubleshoot backend issuesAct as the liaison between staff and software vendors for issue resolutionAdministrative & Creative SupportAssist with printing, ordering, and preparing marketing materials (brochures, business cards, posters)Utilize tools such as Canva and Adobe for basic design and editsSupport basic website content updates when neededCoordinate with vendors for printing, internet, and office servicesRequired Qualifications:3+ years of experience in IT support, system administration, or similar roleStrong knowledge of Microsoft 365 administrationExperience with network setup, troubleshooting, and device managementFamiliarity with cybersecurity tools, antivirus, and email filtering systemsAbility to quickly learn and troubleshoot internal and third-party software systemsAbility to troubleshoot hardware, software, and connectivity issues independentlyStrong organizational skills with the ability to manage multiple systems and prioritiesPreferred Qualifications:Experience with time clock systems and workforce management toolsKnowledge of VoIP phone systems and office security/alarm systemsFamiliarity with Canva, Adobe, or basic design toolsExperience working in a multi-location or staffing environmentBasic understanding of domain management and hostingFluency in English & Vietnamese is a plusKey Competencies:Problem-solving and critical thinkingStrong attention to detail and organizationAbility to work independently and take ownershipEffective communication with both technical and non-technical usersProactive and solution-oriented mindsetCompensation & Benefits:Salary Range: $65,000 – $80,000 annually (based on experience)Health, dental, and vision benefitsPaid time off and holidaysOpportunity for growth within a rapidly expanding organization
