Project Documentation Specialist

Documentation CoordinatorResponsible for coordinating documentation and information management between the Project Team and Operations to support successful project handover and operational readiness. This role ensures all documentation deliverables meet company standards and are properly prepared, reviewed, and transferred into operational systems.
ResponsibilitiesCoordinate between Project Team and Operations to define documentation requirements for handover
Develop and execute Documents for Operations (DFO) strategy, including timelines and processes
Ensure contractors and suppliers meet documentation deliverable requirements per contract
Support identification and tracking of start-up, integrity-critical, and operations-ready deliverables
Plan and lead DFO workshops, training sessions, and stakeholder alignment meetings
Monitor progress of documentation review, turnover, and final handover to Operations
Identify documentation gaps, provide solutions, and escalate issues as needed
Conduct internal and external audits of documentation processes and ensure resolution of findings
Provide regular reporting on DFO progress and performance metrics
Ensure all final documentation is accurately loaded into EDMS (UDocs)
Proactively flag risks that could impact documentation quality, cost, or schedule
QualificationsBachelor's degree in a technical or engineering discipline (preferred)
Experience in document management, information management, or technical project support
Strong understanding of documentation needs in oil & gas operations (production, refining, or chemicals)
Experience working with EDMS systems (UDocs or similar)
Advanced knowledge of information management practices
Strong communication and stakeholder management skills
Ability to influence cross-functional teams without direct authority
High School Diploma or GED required.
Must be able to meet all conditional job offer requirements including background, drug test, agility and fit for duty.
