Assistant Project Manager

Duties
Assist project managers in developing project plans, timelines, and budgets to ensure timely delivery of objectives
Coordinate meetings, prepare agendas, and document minutes to keep team members aligned on project progress
Manage project documentation, including reports, proposals, and correspondence with stakeholders
Support resource allocation by tracking team assignments and ensuring availability of necessary materials and equipment
Monitor project milestones and deliverables, escalating issues promptly to maintain momentum
Handle administrative tasks such as data entry, filing, and maintaining project records with accuracy and attention to detail
Communicate effectively with clients, vendors, and internal teams via phone, email, and in-person interactions to facilitate collaboration
Skills
Strong organizational skills with the ability to prioritize multiple tasks efficiently
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for documentation and communication
Excellent written and verbal communication skills; bilingual abilities are a plus for diverse client interactions
Experience with office management systems such as QuickBooks or similar accounting software is advantageous
Knowledge of multi-line phone systems and front desk operations to manage inquiries professionally
Demonstrated clerical experience including data entry, proofreading, filing, and calendar management
Familiarity with office equipment operation including multi-line phones and general office technology
Exceptional time management skills with the ability to meet deadlines consistently
Customer service orientation with strong phone etiquette and support skills
Previous experience in project management and administrative roles such as medical or dental receptionist or personal assistant is beneficial
