Come join us today!Primary ObjectivesBid and Proposal Oversight: Oversee end-to-end bid and proposal support across all client requests, ensuring high quality, accurate, and timely responses across Agency, Brand, and Complex bidsFeasibility and Input Alignment: Ensure all bids and proposals are supported by accurate inputs and feasibility assessments, coordinating with relevant teams to validate approach and requirementsTeam Leadership and Coordination: Lead and manage onshore and offshore teams, ensuring clear roles, strong coordination, and consistent performance across all groups Cross Functional Alignment and Deal Support: Partner with Sales, Delivery, Operations, Product, and Technology teams to support opportunity development, align stakeholders, and contribute to deal strategy for complex and high value opportunitiesProcess Standardization and Performance Optimization: Drive standardization, efficiency, and automation across bid and proposal processes, while ensuring accurate tracking of bid and proposal activity in CRM systems and monitoring performance metrics, including win rates, to improve outcomes Qualifications - To perform this job successfully, an individual must be able to perform each job duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Detailed Job DutiesBid and Proposal OversightOversee the daily flow of bids and proposal requests across Agency, Brand, and Complex teams, ensuring timely assignment, prioritization, and completion Review bid and proposal responses for quality, accuracy, and completeness, ensuring alignment with client requirements and internal standards Support proposal development beyond bids, ensuring consistency, quality, and alignment across all client-facing materials Act as an escalation point for complex, high priority, or non standard opportunities, providing guidance to ensure appropriate responsesFeasibility and Input AlignmentCoordinate with Sales, Delivery, Operations, Product, and Technology teams to gather required inputs, clarify scope, and align on timelines for each opportunity Support teams in evaluating feasibility by validating sample availability, methodology, and operational requirements with relevant stakeholders Collaborate with cross functional global operations, technology, and product teams to develop and execute project plans, defining scope, schedule, deliverables, resources, and budgetTeam Leadership and CoordinationLead and manage onshore and offshore bid support teams, ensuring clear roles, strong coordination, and consistent performance Monitor workload, turnaround times, and resource allocation across teams, adjusting priorities to meet business needs Provide ongoing coaching and feedback to team members to improve performance and maintain quality standards Partner with team leads to support hiring, onboarding, and training of new team membersCross Functional Alignment and Deal SupportPartner with teams cross functionally to support opportunity development and align stakeholders across the bid and proposal process Support deal strategy for complex and high value opportunities by providing guidance on approach, structure, and positioning Additional Management ResponsibilitiesPerformance Management: setting and managing goals, on-going coaching, corrective action, annual reviews, rewards/recognition, and team/individual developmentEmployee Life Cycle Management: headcount forecasting, job descriptions, recruiting/hiring, termination Governance: ensuring compliance to company policy/practice (e.g. attendance, behavior, workplace attire), ensuring compliance to employment law (e.g. time keeping, anti-harassment and diversity)Leadership: ensures availability to staff, team building, building rapport with individuals, encouraging strong collaborative relationships between individuals and departments, facilitating a healthy work/life mix, solicits and applies feedback (internal and external to team), self-improvement as a leader/manager of peopleCulture Ambassador: proactively demonstrate and cultivate a culture of cooperative collaboration, strong work ethic, solutions-orientation, quality focus, results-orientation, relaxed/enjoyable atmosphere, team- and individual- celebration, and company/product prideThe MUST Haves: (ex: job cannot be done without these skills, education, experience, certifications, licenses) 10+ years of experience in bid support, sales support, project coordination, or a related function Experience leading or managing teams across multiple groups or regionsStrong organizational and time management skills with ability to manage multiple bids and competing prioritiesExcellent verbal and written communication skills with ability to coordinate across cross functional teams Ability to assess requirements, validate inputs, and ensure accuracy and completeness of bid responses Strong attention to detail and commitment to high quality work Problem solving skills with ability to identify risks, escalate issues, and support resolution Experience working with CRM systems and maintaining accurate data and reporting Fluency with AI tools and demonstrated ability to use AI to optimize workflows, improve quality, and reduce manual effort The Nice to Haves: (preferred additional skills, education, experience, certifications, licenses) Bachelor’s degree in Business Administration, Marketing, or related field Experience in bid preparation, client support, or project managementFamiliarity with international research and fieldwork practices Experience working in global operations environments Experience implementing automation or workflow optimization tools Experience with proposal management platforms or content libraries Experience partnering with Product and Technology teams to improve tools and processesPay TransparencyThe anticipated base salary range for this position is $125,000 to $157,000. The final salary offered to a successful candidate will be dependent on several factors that may include, but are not limited to; the type and length of experience within the job, type and length of experience within the industry, the type and length of knowledge and skills for the position, education, training, etc. Prodege is a multi-state employer and final compensation within this range could be impacted by work location.
