Relationships are central to the practice, and every interaction is viewed as an opportunity to build trust.As the Client Experience & Operations Coordinator, you'll play a central role in the client experience while helping the practice run smoothly behind the scenes. Working directly with the firm's founder, you'll coordinate educational seminars, support client relationships, and oversee the day-to-day operational details that keep the business moving forward.This is more than an operations role. If you enjoy taking ownership, wearing multiple hats, and building a long-term career in financial services, you'll have the opportunity to expand your responsibilities, learn how a successful practice operates, and contribute ideas that support its continued growth.What You'll OwnYou'll play an important role in delivering a high-touch client experience while keeping day-to-day operations running smoothly.Welcome guests at educational dinner seminars and create a warm, professional first impression.Coordinate seminar logistics, including registration, attendee check-in, meal coordination, and follow-up.Schedule consultations with seminar attendees and ensure every interaction reflects the firm's commitment to outstanding client service.Manage the advisor's calendar and ensure every client meeting is organized, prepared, and ready to go.Prepare client files, organize meeting materials, and maintain accurate client records.Support daily office operations, including client communications, phones, administrative projects, and office coordination.Assist with client appreciation events and other special initiatives throughout the year.Partner on marketing and practice-growth initiatives, including educational seminar promotions, client communications, and CRM campaigns.Contribute ideas related to branding, client engagement, and the continued growth of the practice.Who You AreYou'll be successful in this role if you:Have 1–3+ years of experience in client service, office administration, operations, hospitality, or another customer-focused role.Take pride in creating a welcoming, professional experience for every client.Are highly organized, proactive, and dependable.Enjoy balancing client interaction with behind-the-scenes coordination.Communicate professionally and confidently, both in person and over the phone.Thrive in a collaborative, small-business environment where your ideas and initiative are valued.Are interested in building a long-term career in financial services.Are creative and business-minded, with an interest in contributing ideas that strengthen client relationships, marketing efforts, and the overall growth of the practice.Have reliable transportation and are comfortable supporting educational seminars held two evenings most weeks.Bonus points if you have:Experience in financial services, insurance, banking, hospitality, or client relationship management.Event coordination experience.Experience working with CRM systems.Marketing, branding, or client engagement experience.Notary certification.What We Offer$60,000 annual base salary.$25 incentive for every seminar appointment kept within seven days of the event.Annual production bonus ranging from approximately $4,000–$17,500 based on firm performance.Mileage reimbursement for seminar travel.Health insurance, with the company covering 50% of the monthly premium for individual coverage and 33% for family coverage.Long-term opportunities to expand your responsibilities and grow your career within a successful retirement planning practice.Schedule & TravelThis is a full-time, in-office position based in Marshfield, Massachusetts.Monday–Friday, 9:00 a.m.–5:00 p.m.Two evening educational seminars most weeks, typically from approximately 5:00–8:30 p.m.Seminar schedules fluctuate throughout the year based on holidays and seasonal attendance.Occasional weekend client-appreciation or special events, typically just a few each year.To help balance evening seminars, the schedule shifts later on seminar days.Reliable personal transportation is required, as seminars and client events take place throughout the South Shore—from South Boston to Cape Cod and west toward the Providence area.Why Join?This is an opportunity to join a close-knit, collaborative practice where exceptional client service is valued as highly as financial expertise.You'll work directly with the firm's founder and gain exposure to every aspect of the business, including client relationships, educational events, operations, marketing, and practice management.
