Office Administrator | Long-Term OpportunityWe're seeking an experienced Office Administrator to support a large corporate office in Lawrenceville, NJ as the primary administrative point of contact. This is a long-term opportunity with room for growth, ideal for someone who views administration as a career path and has experience supporting a fast‐paced corporate environment.As a Workplace Office Administrator, you'll play a key role in keeping office operations running smoothly by providing administrative support to employees at all levels, both on-site and remotely.Essential Functions include but not limited to:Office & Facilities SupportOrder and manage office supplies, snacks, and inventoryMaintain office common areas, kitchen, and overall office upkeepCoordinate with building management and vendors (plumber, HVAC, repairs, security access)Serve as liaison for facilities, IT, managed print services, and equipment issuesCoordinate shipping, deliveries, incoming/outgoing mail (FedEx, UPS, Amazon, etc.)Support safety and compliance programs (visitor guides, bulletin boards, AED/CPR supplies, PPE)Administrative & Financial SupportPrepare and track Accounts Payable data (invoice submission, PO tracking, issue resolution)Assist with procurement activities, purchase orders, and indirect expense trackingSupport office leaders with reports, spreadsheets, expense reports, and utilization trackingMay serve as timecard administrator (weekly submissions and daily timecard comments required)Meetings, Events & VisitorsPrepare conference rooms, catering, and office setup for executive visitsCoordinate office events, holidays, and meetingsManage visitor experience (front desk coverage, guest check‐in, phone coverage)People & Project SupportAssist with new hire onboarding, I‐9s, IT equipment setup, and offboardingSupport project teams with document control, records management, and reportingAssist with project coordination, contracts, workflows, QA reviews, and task trackingMay support remote offices and occasional business travelAssist with fleet vehicle program and document tracking, if assignedRequired Experience:3+ years of experience in an Office Administrator, Office Manager, or similar role in a corporate office settingExperience supporting an office (not an individual)Invoicing and PO tracking experienceStrong time management, prioritization, and follow‐throughExperience with facilities coordination and office event planningPolished, professional, warm, and welcoming presenceTech‐savvy and comfortable juggling multiple prioritiesTechnology & Tools:Strong Microsoft Office skills (Word templates, Excel spreadsheets, PowerPoint)Experience with multi‐line phone systemsComfortable with MS Teams, Zoom, Slack, or similar toolsAct as on‐site IT point of contact for Service Desk coordination when neededThis is a contract‐to‐hire position, and only candidates able to commit to long‐term employment will be considered. Annual compensation ranges from $60K–$70K, based on relevant experience, plus benefits including health, dental, vision, and 401(k).
