Title: Office AssistantDuration: Direct PlacementLocation: Grapevine, TX (76051)Citizenship Status: USC Position OverviewEducation High School Diploma plus Formal Training in pertinent application software (Word, Excel) and in admin duties and skills.Experience:MS Excel – spreadsheet setup, edits, linking, formulas, common functionsWill be helping to proofread documents and spreadsheets as well as using these functions to plan, track, manage front desk data such as employee lists with skills, dates, experience, health insurance coverage, dependents, uniform sizes, location assignments, etc.Must be skilled at formatting documents (because no one else on staff is very experienced in that area).Trained in telephone and email etiquette.Duties:- clerical duties such as answering phones, picking up/dropping off mail, copier management, typing for office staff, planning company events such as holiday and anniversary group lunches and dinners,- generating correspondence, communicating with vendors, customers, employees.- proofreading documents and spreadsheets as part of our accuracy review system before any documents leave the office,- greet and control access into the office with checking ID, purpose of visit, previous appointment, issuance of proper badge and escort, in accordance with ITAR and DOD controls,- maintain master lists such as phone number, employee anniversaries/birthdays, email addresses, group distribution addresses in Outlook,- maintain shared Outlook calendar for office staff vacations, PTO and holidays,- arrange special events with guidance for events such as Anniversary Group Dinners and holiday luncheons: restaurant reservations and menu, invitations, seating charts, slide show of employees being honored, anniversary awards and pins,- managing office supplies and uniform TShirt inventories,- managing seasonal décor (minimal)
