Administrative Assistant
Job Summary
We are seeking a detail-oriented and reliable Grants & Billing Administrative Assistant to support our finance and operations team. This role is responsible for assisting with grant tracking, invoicing, billing support, and general administrative duties. The ideal candidate is highly organized, accurate with data, and comfortable working with deadlines and financial documentation.
Key Responsibilities
Assist with grant documentation, tracking, and reporting
Prepare and process invoices, billing statements, and payment records
Maintain accurate financial and grant-related files
Support accounts receivable and payable tasks
Enter data into accounting and grant management systems
Monitor deadlines for grant reporting and billing cycles
Communicate with internal staff and external partners regarding billing and documentation
Provide general administrative support as needed
Qualifications
High school diploma or GED required; Associate’s or Bachelor’s degree preferred
1–3 years of administrative, billing, or grant support experience preferred
Strong organizational and time-management skills
High attention to detail and accuracy
Proficiency in Microsoft Office (Excel, Word, Outlook)
Experience with accounting or billing software is a plus
Ability to handle confidential information professionally
Strong written and verbal communication skills
Preferred Experience (Not Required)
Nonprofit or government grant experience
Bookkeeping or basic accounting knowledge
Familiarity with QuickBooks or similar software
Job Types: Full-time, Part-time
Pay: From $10.00 per hour
Expected hours: 40 per week
