Administrative/Executive Assistant
Job Summary:
We are looking for a self-motivated and reliable Administrative/Executive Assistant to join our team. This position will support the team by providing administrative services to ensure effective and efficient operations. The ideal candidate will have an energetic personality with strong organizational skills and the ability to pay close attention to detail. This role is wide-ranging and requires someone who works well both individually and within a team.
Job Responsibilities:
· Handle administrative requests from managers and provide support to the team
· Create tickets in our ticketing system and ensure they are being addressed in a timely manner
· Maintain team calendar and schedules
· Coordinate meetings and interviews
· Review technician ticket notes and determine if they are acceptable to send out to clients
· Vendor point-of-contact
· Prepare/proofread communications such as proposals, invoices, emails, contracts, and other correspondence
· Manage ordering, inventory and Purchase Order (PO) Sheet
· Create client proposals and handle communication
· Prepare and process monthly invoicing
· Review and address Accounts Receivable and monthly credit card charges
· Pull vendor invoices and receipts, code and send to accounting department
· Update and maintain client hardware/software expirations
· Maintain computer filing system
· Input and update information in databases and spreadsheets
· Plan and coordinate team-building events
Education & Experience:
· High school diploma or equivalent
· Bachelor's degree (preferred, but not required)
· 2 years of prior administrative assistant experience supporting a team
Preferred Skills & Qualifications:
· – Working knowledge of Microsoft Office products (Word, Excel, PowerPoint, Outlook) and basic office equipment
· – Must be able to communicate kindly and effectively with internal and external clients
· - Ability to multitask and handle several projects simultaneously
· – Meticulous when reviewing and editing documents and data
· – Ability to identify problems and find solutions
· – Must be able to stay organized and maintain all administrative duties
· – Excellent written and verbal communication skills
· - Ability to work independently and as part of a team

Pay: $40,000.00 - $60,000.00 per year
