Legal Records Specialist
The Legal Record Specialist will provide coordination of all incoming subpoenas and all external paper records and the process of their digitization. Operates as agency’s point of contact for community partners involved in the legal records process, including paralegals, District Attorneys, Judges, and other officers of the court. This role will provide support for incoming medical records requests as needed.
Qualifications: ·
Associates degree in legal or office management
· At least (1) year office experience, or any equivalent combination of training and experience.
· Two to five years of experience in Health Information Management and/or legal processing.
Primary Responsibilities:
· Management of all subpoenas including review for appropriateness, coordination of records for court.
· Coordination, instruction, and support of all Adapt employees involved in the court process.
· Communication and collaborating with attorneys and court officers.
· Act as agency point of contact for process servers, ensuring secure receipt and follow up on subpoenas.
· Control and storage of all legal documents in compliance with regulatory requirements.
· Act as legal record custodian for all subpoena duces tecum, including court appearances.
· Work in collaboration with Compliance to develop policies and procedures related to subpoenas, legal
appearances and legal records custodian duties.
· Analyze, monitor, and complete record requests and coordinate quarterly statistics
· Conduct regular paper records surveys and coordinate paper record digitizing.
· Work in collaboration with Privacy Officer in development and implementation and monitoring of HIPAA
privacy policies.
· Manage amendment of records process.
· Act as site notary public
· Develop training using multiple methodologies including written, oral, audio/video tools.
· Process HIM Records as needed.
· Perform Record Audits and Monitoring on a scheduled basis.
· Occasional Records Compliance Projects may be requested. This may include auditing, development of
policies and procedures, creation and provision of training.
· Provide support, education, and guidance to HIMs employees on HIPAA and 42 CFR, Part 2 regulations.
Required Skills/Abilities:
· Knowledge of legal subpoena structure and requirements.
· Knowledge of the rules of court and regulations pertinent to area of assignment
· Knowledge of legal and court terminology
· Basic knowledge of medical terminology preferred
· Well developed understanding of CFR 42 Part 2 regulatory requirements related to legal subpoenas
· Ability to work collaboratively within a team
· Self-motivated with the ability to support multiple projects
· Proficiency in Microsoft Office Suite
· Troubleshooting and problem solving
· Excellent customer service, communication, written and verbal skills
· Ability to manage time, prioritize projects and multi-task effectively
· Willingness to learn new technologies
· Excellent organizational skills
· Have license as notary public or ability to obtain within 6 months
· Experience in the healthcare industry preferred
· Paralegal preferred

Pay: $45,000.00 - $61,000.00 per year
