Office Assistant II
JOB REQUIREMENTS: Job Summary This is a broad class involving theperformance of varied secretarial and administrative tasks relating toan assigned division. Employees in this class are called upon to handlecorrespondence, prepare records, perform reception duties, type, filedocuments and operate a variety of office equipment. The work requiresthe exercising of independent judgment in the application of officeprocedures and regulations. This classification differs from that ofClerical Assistant primarily in relieving a supervisor of administrativedetails, including responding independently to routine correspondence.Directed supervision is provided by the department head or otherProfessional Staff. Essential Duties And Responsibilities The Followingduties are expected of this position. These are not to be construed asexclusive or all-inclusive. Other duties may be required and assigned.Collaborates with the District Attorney\'s Office on criminal casereports. Receives and responds to open records requests. Transcribes andtype letters, memos, reports, legal documents, and related material fromclear copy, rough draft, or dictation. Sorts, indexes and files recordsand materials relevant to assigned divisions. Answers and screensincoming calls, furnishes information and keeps appointment calendar.Composes routine replies to general inquiries and correspondence.Compiles data and information to assist in the completion of reports,special studies and various projects. Prepares a variety of weekly andmonthly reports. Prepares billings, posts to proper ledgers, tabulatesvouchers and gathers annual cost statistics. Records financialtransactions in the proper records of accounts. Orders office suppliesand program materials. Collects and deposits fees for licenses, permitsand departmental services. Keeps appraised of related laws, regulations,policies and program procedures. Receives payments, issues receipts andmaintains related records. Works at counter and assists preparing formsand applications and providing information. Civil Process- Comprehensionof related laws, keep accurate documentation of processes, schedulingand follow up of services.
