Electronic Health Records Specialist
Employee at this position will be responsible for providing support and training to DSPs and other staff on efficient use of our EMR software program to ensure that they are able to provide care and appropriate documentation for our participants; collaborates with the EMR vendor and the OTC Services’ team to identify, resolve and/or escalate practice concerns.
Devise individual service plans for all participants and residents by collaboratively working with Supervisors and Managers.
Maintain electronic health records, using Therap software, encompassing health records, service plans, and other goals and maintain the required documentation.
Ensure quality documentation and attendance records before submitting to billing.
Collaborate with various departments (Day Habilitation, Accounts Payable, Residential, and Vocational) to analyze documentation, financial data and performance.
Build models/Therap profiles to track future performance and progress.
Analyze the potential changes needed for all services within the various departments.
Assist Managers/Supervisors with corrections to ISP plans.
Travel to agency sites for auditory reviews and state and federal inspections.
Maintain an accurate paper and electronic filing system for audits conducted.
Create trainings as needed to address systemic issues and changes in processes.
Conduct THERAP orientation training for new staff and retraining as needed for existing staff members.
Update Tier levels/rates as necessary.
Set up/create funding sources for each service and determine/input the amount to be billed for electronic Medicaid claim submission.
Enter and update related information such as service descriptions, measure of service unit, unit cost and amount of funds available in a Service Authorization.
Track of the number of units of a service authorized for each participant and the number of remaining units still available to ensure enough units remain to cover the ISP billing period.
Track behavior data/checklist and special needs checklist completion for all participants with a behavioral and/or medical acuity.
Create Service Description codes as needed
Regularly audit ISP (individual service plan) data for accuracy and completion.
Input, update and maintain service authorizations and ISPs, following up with support coordinators if needed.
Run monthly billing reports for all the programs (all the CACs, group homes, SE programs)
Ensure compliance with DDD and Medicaid policies and ensure all employees comply with organizational or legal standards
Abstract clinical information for reports when needed
Provide feedback to staff and supervisors for all incorrect documentation
Track point system for all DSPs and report findings each months to the program supervisors/managers/coordinators.
Other duties as assigned.
Bachelor’s degree in any healthcare related discipline or in health information management is a plus
Must have 2-3 years of experience in records management
2-4 years of experience of working around people with special needs
Must be able to work independently and as a team member
Must be comfortable to work around people with special needs
Must have good coaching and mentoring skills
Excellent communication skills and working knowledge of Microsoft applications
Working knowledge of Therap system is preferred
Understanding of DDD/DHS/Medicaid compliance requirements
Necessary Special Requirements
