This role serves as the central point of coordination for administrative functions, helping to ensure the office runs efficiently while supporting project teams, field staff, and visitors. This is a highly visible role that requires strong organization, communication, and the ability to manage multiple priorities in a fast-paced jobsite environment.ResponsibilitiesManage day-to-day office operations for the project site or field officeServe as the first point of contact for visitors, vendors, and project personnelSupport onboarding logistics including badging, site access, and orientation coordinationCoordinate office supplies, equipment, and general site needsAssist with scheduling meetings, coordinating calendars, and managing conference roomsSupport timesheet collection, expense tracking, and general administrative reportingMaintain organized filing systems (digital and physical) for project documentationAssist with document distribution, printing, and tracking as neededCoordinate travel, lodging, and logistics for project staff when applicableSupport communication between project teams, subcontractors, and vendorsHelp maintain a clean, organized, and professional office environmentAssist leadership team with ad hoc administrative tasks as neededRequirements2-5+ years of experience in an administrative or office support rolePrior experience in construction, engineering, or industrial environments strongly preferredStrong organizational skills with the ability to multitask and prioritize effectivelyExcellent communication and interpersonal skillsProficiency in Microsoft Office (Outlook, Excel, Word)Ability to work onsite in a fast-paced, team-oriented environmentHigh attention to detail and strong follow-throughPreferredExperience supporting construction field offices or project sitesFamiliarity with tools like Procore, Bluebeam, or similar construction platformsExperience coordinating onboarding, badging, or site accessComfortable interacting with field teams, leadership, and external partnersWHY SHOULD YOU APPLY?If your career path isn't on track, get it OnQ!
