Real Estate Assistant

We're hiring a motivated real estate administrative assistant to join our growing team. Responsibilities include administrative duties such as keeping track of all transaction documents in the client database for our real estate agents, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments and final walkthroughs.You'll also support the team by marketing the company on social media and planning company events. If this position interests you, start your application today!Responsibilities:Complete paperwork for all real estate transactions in a timely manner to ensure a deal is closed as quickly as possibleRespond to customer needs with urgency and attentivenessAchieve company objectives and regularly compile a progress report to present to the teamAssist the real estate team in facilitating local events to foster connection to people in the neighborhoodParticipate in training sessions to improve skills with administrative tasks in the real estate industryProvide prompt and professional responses to tenant calls, emails, and direct messagesProcess rental applications, including verifying employment, rental history, and other criteriaShow rental properties to prospective tenants when requiredMaintain tenant files and ensure all lease documentation is properly executed and storedManage lease compliance processes, including late payment follow-up and coordination of notices or evictionsPrepare and track tenant communications regarding payments, fees, and property updatesAttend weekly property management team meetings and contribute insightsCoordinate utility transfers for vacant properties to protect against weather-related damageCreate and track maintenance requests in the CRM and ensure timely completionPerform periodic property visits and inspections, including taking photos, changing lockboxes, and meeting vendorsMaintain checklists and update procedures to ensure consistency in Tenant Relations processesResolve tenant disputes professionally and maintain healthy tenant relationshipsProvide general administrative support to the property management team as neededQualifications:Must have high school diploma or GEDPrior experience in the real estate industry or as an office managerExcellent written and verbal communication skillsPossesses a basic understanding of Microsoft Word, Excel, PowerPoint, and customer database systemsWeekend and evening availabilityCalm and professional demeanor, even during conflict or difficult conversationsHighly organized with strong attention to detailAbility to maintain confidentiality and discretionCustomer-service oriented with strong follow-up skillsReal estate license or willingness to obtain one preferredFamiliarity with property management or the real estate industry preferredAbout Company:Gena Carter has been connecting top-tier talent with thriving real estate and property management teams since 2013.
