It provides solutions that strengthen business development activities, particularly proposal management and production, helping teams improve efficiency, consistency, and responsiveness to Requests for Proposals (RFPs) and other business pursuits.About the OpportunityThe Proposal Operations Specialist manages proposal production and operational processes throughout the pursuit lifecycle. This role supports proposal systems, maintains production standards, coordinates submissions, and provides editorial and work-planning assistance.The position plays an important role in ensuring proposals are accurate, compliant, polished, and delivered on time, contributing directly to the organization’s ability to secure new business opportunities.Responsibilities• Maintain and update standard proposal templates, production procedures, style guides, and operational documentation• Manage the relationship with printing service providers and oversee printed proposal production• Support the implementation and maintenance of AI-enabled tools designed to improve proposal processes• Assist leadership with metrics tracking, process improvement, and lessons-learned activities• Provide editorial support, including document formatting, quality assurance, editing, and proofreading• Coordinate content updates and inputs from team members and contributors• Collaborate with proposal team members to produce compliant, high-quality deliverables• Develop integrated work plans using Microsoft Project and related tools• Facilitate work plan reviews and lead planning discussions with subject matter experts• Support color team reviews, content development schedules, and final submission readiness• Perform additional duties as assignedRequirements• Minimum of 5 years of experience in proposal operations, proposal production, editing, project coordination, or related functions• Minimum of 2 years of experience creating and maintaining project schedules and work plans using Microsoft Project or similar tools• Strong knowledge of proposal lifecycle processes, production standards, compliance requirements, and submission best practices• Proficiency in editing, proofreading, document quality assurance, and formatting• Experience coordinating electronic and printed proposal submissions• Ability to manage multiple priorities in a deadline-driven environment• Strong organizational, analytical, project coordination, and planning skills• Excellent written and verbal communication skills• Demonstrated ability to collaborate effectively with senior leadership and stakeholders• Experience supporting AI-enabled tools and technologies• Bachelor’s degree preferred or equivalent professional experience• APMP or PMP certification is beneficial• Advanced proficiency in Microsoft Office Suite and Adobe Acrobat Professional• Experience with content management systems and document productionPay Range and Compensation Package• The pay range and compensation package for this role will be determined based on the candidate’s experience, skills, and other relevant factors.Benefits & Perks• Fully remote position within the United States• Potential for occasional evening and weekend work during critical proposal deadlines• Limited travel may be required based on business needsEqual Opportunity Statement:Our client is an equal opportunity employer.
