We are seeking an Assistant Project Analyst to support project accounting and financial operations within our Contracts and Compliance Department. This role works closely with the Operations team and senior accounting staff to ensure accurate project cost tracking, billing, and compliance reporting in a fast-paced construction environment. The ideal candidate is detail-oriented, eager to learn construction finance, and ready to grow into a full Project Analyst role.Essential Duties & Responsibilities Assist with setting up new projects in Spectrum, HeavyJob, and Nice Touch under the guidance of senior project accounting staff Support the setup of estimated costs by phase, Accounts Receivable line items, and subcontractor payables in Spectrum Assist in ensuring accuracy and completeness of Extra Work billings in Nice Touch and ICAS Learn and apply Preliminary Lien and Release procedures to project billing workflows Assist with the preparation of monthly Customer Billings for review and approval Track and communicate pending Change Order issues to Project Managers in a timely manner Assist in verifying and inputting Change Orders into project management systems Compare subcontractor invoices against Pay Estimates; assist in routing subcontractor payments to the Project Engineer and Project Manager for approval Review and forward Subcontractor Extra Work and Time & Material invoices for processing Support efforts to pursue and resolve past-due Accounts Receivable on assigned projects Assist in preparing monthly reports for Project Managers, including job cost, Accounts Receivable, Accounts Payable, and profit/loss analysis Provide project compliance forms as needed, including monthly DBE forms, releases, and similar documentation Support the timely closeout of projects, including releases and compliance forms Maintain organized project files and documentation in accordance with company standardsThe above list is intended to describe the general nature and level of work being performed. It is not intended to be an exhaustive list of all responsibilities and activities required of this position.QualificationsEducation & Experience Associate’s or Bachelor’s degree in Accounting, Business Administration, or a related field preferred; equivalent combination of education and experience considered 1–4 years of experience in project accounting, construction accounting, or a related field; experience in heavy civil construction a plus Coursework or demonstrated knowledge of basic accounting principles (A/R, A/P, job cost) preferredSkills & Competencies Proficiency in Microsoft Office Suite (Word, Excel, Outlook); strong Excel skills preferred Familiarity with 10-key touch preferred Strong verbal and written communication skills; comfortable interacting with project managers and field staff High attention to detail and commitment to data accuracy Ability to manage multiple tasks and deadlines in a fast-paced environment Self-starter with a willingness to learn construction-specific systems and processesPreferred QualificationsWe encourage you to apply even if you don’t meet every requirement.
