MindDivers is seeking a Billing Specialist with proven mental health billing experience to support accurate, timely, and compliant billing operations. This role is responsible for end-to-end revenue cycle tasks including charge entry, claim submission, payment posting, denials management, and patient billing support. You’ll play a key role in protecting cash flow, reducing aged A/R, and ensuring a high-quality experience for both clients and clinical teams. Essential Functions Submit behavioral health/mental health claims accurately and on time (electronic and manual as needed). Perform charge entry, claim edits, and pre-bill reviews to prevent denials. Post insurance and patient payments, manage adjustments, and reconcile payer remittances (ERAs/EOBs). Work A/R queues: follow up on unpaid/underpaid claims, correct rejections, and resubmit clean claims. Investigate and resolve denials (eligibility, authorization, coding, medical necessity, timely filing, coordination of benefits, etc.). Verify insurance eligibility and benefits; identify authorization requirements and flag gaps. Coordinate with clinical and admin teams to resolve documentation, coding, and billing issues. Maintain accurate payer portals, notes, and billing documentation in the EHR/practice management system. Support patient billing questions with professionalism and discretion, including payment plans when applicable. Track trends, identify root causes, and recommend process improvements to reduce denials and improve turnaround time. Maintain compliance with HIPAA, confidentiality standards, and payer-specific billing requirements. Required Qualifications (Must-Haves) Mental health billing experience required (behavioral health/therapy/psychiatry billing). 2+ years of medical billing experience (behavioral health counts toward this). Working knowledge of CPT/HCPCS and ICD-10 related to behavioral health services. Experience with claim lifecycle management: submissions, rejections, denials, appeals, and follow-up. Comfort navigating EHR/practice management systems and payer portals. Strong attention to detail, organization, and ability to manage competing deadlines. Ability to handle sensitive client information with discretion and professionalism. Preferred Qualifications (Nice-to-Haves) Experience billing for therapy and psychiatry, including telehealth. Familiarity with Medi-Cal, commercial plans, and managed care (if applicable). Billing certification (CPB, CPC, or similar). Experience with authorization workflows and coordination of benefits. Strong Excel skills and comfort with reporting (A/R aging, denial trends, productivity metrics).
