Construction Project Coordinator

Our client a well known Financial Services firm is seeking a Construction Project Coordinator in their New York, New York Location! Job SummaryThe Improvements & Project Support Analyst provides hands-on support for renovation projects and improvements across a U.S. portfolio. This role focuses on day-to-day project coordination, site support, documentation, and reporting to ensure efficient project execution with minimal disruption to business operations. The position works closely with project managers, property managers, vendors, and internal teams to support projects from planning through completion.Key ResponsibilitiesImprovements & Project Support (On-Site Focused)Support active improvement and renovation projects across multiple propertiesAssist with site visits, walk-throughs, punch lists, and field observationsTrack project progress, milestones, and outstanding itemsDocument field conditions, issues, and changes for internal reportingCoordination & CommunicationCoordinate with project managers, property managers, vendors, and consultantsSchedule site access, meetings, inspections, and contractor visitsTrack and follow up on action items, RFIs, submittals, and approvalsCommunicate project status updates and impacts to internal stakeholdersDocumentation & TrackingMaintain project logs, trackers, and documentation (drawings, photos, schedules, invoices)Organize and archive project files for compliance and accessibilityReview contractor invoices and confirm work completionTrack change orders, close-out documents, and warrantiesBudget & Cost Awareness (Non-Technical)Track spending against approved budgetsFlag potential cost overruns or scope changesAssist with collecting vendor quotes and bid comparisonsOperational & Asset SupportCoordinate with building operations to minimize tenant disruptionSupport temporary relocations, access logistics, and safety complianceEnsure projects align with building standards and operational needsAssist with post-completion reviews and lessons learnedReporting & UpdatesPrepare project status reports, summaries, and dashboardsCompile photos, schedules, and narrative updates for managementAssist with materials for internal capital or facilities meetingsQualificationsEducationDegree in Engineering, Facilities Management, or a related administrative field preferredExperience0–2 years of experience in real estate, construction, facilities, or project coordinationInternship or exposure to renovation, building upgrades, or facilities operations preferredSkills & CompetenciesStrong organizational and follow-up skillsComfortable working on job sites and interacting with contractors and vendorsDetail-oriented with the ability to manage multiple projects simultaneouslyProficient in Excel, Power BI, and basic reporting toolsStrong written and verbal communication skillsBasic knowledge of building systemsWillingness to learn project workflows
