If you are a skilled operations professional who thrives in a dynamic environment and wants to contribute to meaningful civic work, we encourage you to apply.This role will be an in-person position with the potential to transition to hybrid. Reporting RelationshipReports directly to the President & CEOCoordinates directly with the Senior Vice PresidentKey ResponsibilitiesOperations & AdministrationManage daily operations, including office administration, IT infrastructure, vendor relations, leased office space, and meeting and event scheduling. Own executive calendar management and expense reporting, serving as the primary point of contact for internal and external requests. Executive SupportSupport the day-to-day operational requirements of the President & CEO and Senior Vice President, including scheduling, meetings, communications, reporting, and consultant relations. Coordinate and project-manage executive engagements, ensuring thorough preparation and follow-through. Prepare materials and communications on behalf of leadership, including presentations, emails, newsletters, and documents.Board of Directors & Stakeholder EngagementWorking directly with the SVP, support planning and implementation of Board of Directors meetings. Coordinate with board members' support staff to facilitate participation in events and meetings, ensure timely collection of membership dues, and take and publish minutes of board meetings. Support relationship management with donors, board members, and key stakeholders through proactive coordination and follow-up.Finance & ComplianceWorking directly with the President & CEO and coordinating with the SVP, oversee budgeting processes, financial reporting, payroll, and compliance with regulatory requirements. Regularly monitor and report on ASF's financial status. Manage donor portfolio tracking and moves management using Salesforce and other systems.Project Management & Cross-Team CollaborationOversee Executive Office project management, ensuring initiatives are clearly scoped, tracked, and executed. Collaborate across teams on cross-functional initiatives and support coordination of internal communications, including organization-wide meetings, newsletters, and staff announcements.Key Qualifications• 5+ years of experience in operations management, with a strong preference for 501(c)(3) nonprofit experience• Proven communications, relationship-building, and organizational skills• Financial acumen, including proven ability to manage budgets and monitor financial health• Proficiency in QuickBooks and MS/Google Office Suite• Experience with Salesforce or similar CRM platforms preferred• Bachelor's degree preferredCore Competencies• Resourcefulness and the ability to maximize impact with limited resources• Proactive problem-solving skills with a track record of identifying issues and implementing solutions• High emotional intelligence and the ability to handle sensitive situations with discretion• Detail orientation and ability to manage competing priorities effectively• Calm under pressure and comfortable navigating ambiguityCompensationThis is a full-time, exempt, salaried position with a salary range of $75,000 – $110,000 per year, commensurate with experience.
