Highly organized and detail-oriented, they coordinate across crews, clients, and internal staff while managing multiple priorities with urgency. This role requires strong communication skills and technical proficiency to manage contracts, scheduling, permits, and project updates within our CRM (ServiceTitan). As ambassadors of our brand, Production Administrators help deliver on sales commitments, drive operational efficiency, and exceed customer expectations.Responsibilities:Review customer contracts to confirm accuracy of colors, sizes, and job-specific detailsPrepare production documents and instructions for installation crewsOrder materials and coordinate timely delivery to job sitesCommunicate with customers to set expectations, schedule installations, and clarify project requirementsPartner with leadership to continuously improve service quality standardsObtain and process permits from local building departmentsManage status calls and provide timely customer updates through CRM systemsTrack and document progress of all project phases in service management softwareDevelop and share comprehensive project plans with customers and internal staffEnsure installation documentation is complete and accurateUpdate invoices and purchasing documents to reflect changes identified during installationMonitor production performance, identify inefficiencies, and recommend improvementsCollaborate with cross-functional teams to resolve issues and deliver exceptional customer serviceRequirements:Required: Customer service or administrative experience; construction or home services experience a plusProficiency with CRM and service management software (ServiceTitan preferred)Strong organizational skills and ability to manage multiple priorities with attention to detailExcellent verbal and written communication skills, with a customer-focused approachProblem-solving mindset; adaptable, proactive, and team-orientedComfortable working at a computer for extended periods; able to occasionally lift up to 15 lbsMust be able to communicate effectively via phone, video, and in personSchedule & Compensation8–10 hour shifts with occasional overtimeWork Day 7-3; Winter hours 8-4Location: 4906 W Overland Rd, Boise, ID 83705Job Type: Full-timeFLSA: SalaryCompensation & Benefits DisclosureCompensation for this role may be provided as hourly pay, salary, commission, piece-rate, bonuses, incentives, or a combination of these methods, depending on the position.
