Medical Secretary
GENERAL SUMMARY: Responsible for all clerical duties within Nursing Medical Unit. In the temporary absence of DON and ADON, will accept all calls and inquiries and transfer or handle situation. Will be responsible to assure all duties are completed on schedule.ESSENTIAL DUTIES AND RESPONSIBILITIES includes the following.As well as other duties as assigned.JOB DUTIES:Responsible for dictation and typing of physician visits, psychiatric visits and GYN visits.Responsible for typing letters, forms and reports for DON and her assistant.Responsible for answering telephone, making telephone calls and delivering messages.Responsible for making and cancelling medical appointments and notifying proper persons.Ensuring all appropriate insurance is sent with clients and assuring accurate information is available.Responsible for copying records and all appropriate information.Ensure all medical supplies and forms are available.Responsible for filing employee medical reports.Responsible for copying and distributing accident and incident reports.TB and Hepatitis records, notification to employees, maintain list of past due injections and notifications.Initiate all trip tickets.Create and maintain nursing scheduling. Maintain nursing attendance records including basic building assignments.Ensure nurses are up to date with CPR.Update addresses on rolodex, database and insurance information sheets and distribute.Maintain ongoing record of ER visits and hospital admissions/discharges.Maintain list of hospice patients.Responsible for mailing and monitor the return of psychotropic (including pre-meds) consents.Monitoring and maintaining accurate time clock sheet.Assist in maintaining record room.Track and verify all paperwork is received from each Doctor's appointment and/or hospital/ER visit.Send out monthly calendar regarding Dr. appointments.Other duties as assigned by DON and ADON.EDUCATION/QUALIFICATIONS: High school graduate with either an academic or office skills background and a knowledge of medical terminology and ability to deal directly with physicians and nurses on a professional level.Qualifications:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.The requirements listed below are representative of the knowledge, skill, and/or ability required. Knowledge of Outlook or similar programs.Physical Demands:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Employee will frequently use a mechanical lift, climb stairs and ramps. The employee will frequently and occasionally lift and/or move up to 75 pounds. From time to time, employee may be required to work long hours. The employee is frequently required to use both hands, push/pull, temp changes use sharp objects, and talk. The noise level in the work environment is usually moderate. On occasion, noise level may be very loud. On occasion, the work environment may be cold and hot.Specific vision abilities required by this job include close vision, distance vision, and peripheral vision. Specific hearing abilities required by this job include the ability to hear when communicating with employees and using a phone line.
