We are looking for a Bilingual Front Desk Receptionist to be the face of our office. You will greet clients, manage phone calls, schedule appointments, and provide administrative support that keeps daily operations running smoothly. This role requires professionalism, attention to detail, and the ability to communicate fluently in English and Spanish.Key ResponsibilitiesWelcome and assist clients and visitors, ensuring a positive experience.Answer and transfer phone calls, check voicemail, and return calls as needed.Manage emails and distribute them to the appropriate advisor.Schedule, confirm, and follow up on client appointments.Maintain a professional and organized reception area.Handle document filing, scanning, and digital archiving.Support advisors with basic follow-ups and client tasks.Process online payments and manage client billing (monthly invoicing, collections).Record client notes, sales, and task updates in TaxDome and Excel.Assist with Workers Compensation and insurance-related documentation.Create shipping labels (USPS/other providers).Print and bind client accounting books (VIP clients).Maintain office supplies inventory and utilities payments.Make follow-up calls to potential clients.Prepare 1099 forms and handle initial tax documentation intake.Ensure confidentiality of client information.QualificationsHigh School Diploma or equivalent (technical training in administration/customer service preferred).1+ year of experience as receptionist, administrative assistant, or in customer service.Proficiency with Microsoft Office (Word, Excel, Outlook) and/or Google Workspace.Comfortable with scanners, printers, and office tech.Bilingual – fluent in English & Spanish (written and spoken, CEFR C1 on both at least).Strong communication and interpersonal skills.Highly organized, proactive, and detail-oriented.Ability to prioritize tasks under pressure.Professional presentation, punctuality, and discretion.Core SkillsCustomer Service & EmpathyCommunication (Verbal & Written)Time Management & PrioritizationAdaptability & ResilienceTeamwork & CollaborationAnalytical & Problem-Solving ThinkingResponsibility, Ethics, and Confidentiality
