This position combines administrative support with hands-on facilities coordination to help maintain a productive, organized, and efficient office environment. The ideal candidate will bring experience supporting facilities operations, office services, and workplace logistics, and will collaborate with multiple departments to ensure day-to-day building needs are met.ResponsibilitiesSupport daily facilities operations and assist with building-related requests.Submit maintenance and janitorial service requests and track completion.Coordinate office organization projects, workspace improvements, and space planning activities.Prepare and set up workstations for new hires, including furniture, equipment placement, and office supplies.Coordinate with internal stakeholders to ensure workspace readiness and building access requirements are completed.Support internal office moves, including relocating furniture, equipment, and office materials.Assist with workspace reconfigurations before and after departmental moves.Conduct routine inspections of meeting rooms to verify cleanliness, functionality, supplies, and audiovisual equipment readiness.Configure meeting rooms for meetings, training sessions, and special events.Maintain kitchens, breakrooms, and shared spaces to established workplace standards.Provide mailroom coverage during employee absences and support incoming and outgoing mail processing.Assist with office relocation activities, including labeling, furniture placement, and workspace preparation.Travel between office locations as needed during workplace transition projects.Serve as a trained Fire Warden and support emergency preparedness and evacuation procedures.Assist with employee engagement activities and company events.QualificationsHigh school diploma or equivalent required.Minimum of 3 years of administrative assistant experience, preferably supporting facilities administration and operations.Experience in facilities, office services, workplace support, or a similar environment.Proficiency with Microsoft Office, Outlook, and Microsoft Teams.Experience coordinating maintenance requests, office logistics, or workplace support activities.Ability to manage multiple priorities and deadlines in a fast-paced corporate environment.Experience supporting office moves, workplace transitions, or space planning initiatives preferred.Familiarity with mailroom operations and package processing preferred.Experience working within a corporate office environment preferred.Ability to perform light lifting and support physical workspace setup activities.Strong organizational skills and attention to detail.
