This role starts at our new 90-unit Milton, MA property, where you will work alongside our hired brokers during the initial lease-up — learning our systems, processes, and standards before gradually taking ownership of the full portfolio.This is a hands-on, physically active role. A big part of the job involves being on-site — conducting tours, completing move-in and move-out walkthroughs, collecting payments, handling paperwork in person, and making sure every new resident has a great first experience. A personal vehicle is required, as you will travel between properties. Gas is fully reimbursed. The right person is personable, detail-oriented, and takes real pride in the work they do.This role is a mix of in-office administrative work and on-site property visits, so expect your day to vary.Core ResponsibilitiesProspect & Inquiry ManagementServe as the first point of contact for all leasing inquiries coming in through Apartments.com, Zillow, the Appfolio portal, and by phoneRespond to all incoming inquiries promptly and professionallySchedule and conduct in-person property tours for prospective residentsAnswer questions about unit availability, pricing, building amenities, and lease termsFollow up with prospects and maintain an organized pipeline through AppfolioCommunicate with prospects and residents primarily through Appfolio (text and email) and via office phone — a dedicated leasing phone will be provided once the role is establishedCoordinate with the maintenance coordinator ahead of all showings to confirm units are clean, fully functional, and showing-ready — no unit gets shown unless it is 100%Work with the maintenance coordinator to make sure common areas and building exteriors are presentable and up to standard before any prospective tenant visitsLeasing & Application ProcessGuide applicants through the full leasing process, including application submission and screening — all final approval decisions are made by the property managerCollect and organize all required application documents and submit to the property manager for reviewPrepare and execute lease agreements accurately and in compliance with company standardsWork alongside brokers to learn proper protocols and build a strong foundationMaintain up-to-date knowledge of available units, floor plans, and pricing across the portfolioMove-In ProtocolsCollect first month's rent and security deposit prior to move-in and confirm receipt in AppfolioComplete and document the move-in statement of conditions with the new tenantCoordinate with the maintenance coordinator well in advance of move-in to confirm the unit is fully ready — all repairs complete, clean, and in move-in conditionWork with the maintenance coordinator to ensure all keys and fobs are prepared and ready to hand off on move-in dayPrepare and deliver a welcome gift basket for all new residentsDo a final walkthrough of the unit before handing over to confirm everything is up to standardSend move-in confirmation and welcome communications to new residentsMove-Out ProtocolsCoordinate with residents ahead of their move-out date and clearly communicate expectationsConduct move-out unit inspections and complete all required condition documentationCompare move-out condition against the original statement of conditions and note any damagesProcess key and fob returns and update access accordinglyCommunicate findings to the property manager and coordinate any needed repairs with maintenanceEnsure all move-out paperwork is completed and records are updated in AppfolioLease RenewalsInitiate the lease renewal process well ahead of expiration datesCommunicate renewal terms to residents and negotiate where appropriateSecure signed renewal agreements in a Appfolio portal with accurate availability, pricing, and photosPhotograph units and common areas as needed to support listingsMonitor competitor pricing and availability to help inform leasing strategyAdministrative DutiesKeep all resident and prospect records organized and current in AppfolioAssist with drafting resident communications such as notices, announcements, and policy remindersHandle day-to-day administrative tasks as needed to support smooth property operationsAddress minor resident concerns and complaints directly with professionalism and care — escalate larger or more complex issues to the property managerAssist with tracking leasing metrics such as vacancy rates, leads, and applications in Appfolio — reporting is led by the property
