Design Studio Procurement Coordinator
ABOUT THE ROLEWe are seeking a highly organized, detail-oriented Procurement Coordinator to manage purchasingand procurement across multiple client projects. This role is ideal for someone who enjoys managingcomplex logistics, loves working and connecting with people, and is able to bring structure andclarity to fast-moving design projects.You will play a critical role in ensuring that all materials and furnishings are sourced,ordered, tracked, and delivered seamlessly. And that every project is handed off with complete,accurate documentation.ABOUT USArs Vivendi Design Studio is the interior design division of Pacific Sundance Construction, Inc.We specialize in healthcare and senior living design: creating environments that feel as considered asthe care delivered within them. Our studio is based in Laguna Niguel, California, and operates in over30 states across the US.KEY RESPONSIBILITIESPurchase Order Management• Manage purchasing and procurement for multiple interior design projects simultaneously• Issue and manage purchase orders from design specification through on-site delivery, ensuringaccuracy and timely processingVendor Communication• Communicate with vendors, showrooms, and suppliers to obtain quotes, confirm availability,manage lead times, backorders and substitutions. Gather updates and proactively manage changeswith design and field team.• Serve as the point of contact for vendor relationships alongside the Design Operations ManagerQuotes & Pricing• Request and compare vendor quotes• Track trade pricing and discount structures• Flag pricing discrepancies from what was originally specifiedLead Time & Delivery Coordination• Build and maintain delivery schedules• Coordinate with project managers and contractors on site readiness• Proactively manage shifts in lead times as they arise• Generate bi-weekly reports to field team and client contacts to give updates on upcomingdeliveriesReceiving & Punch List• Track what has been received, damaged, or placed on backorder• Manage claims and coordinate replacementsBudget Tracking• Assist with maintaining the FF&E budget against actuals• Communicate variances to the design team in a timely mannerDocumentation & Filing• Keep proposals, cut sheets, confirmation numbers, and shipping docs organized and accessible• Organize and maintain the project hand-off binder, ensuring all product documentation,warranties, and specifications are complete and accurately filedOperational Organization• Coordinate with the Design Support team member on samples, presentations, and studio libraryorganization or updates• Help streamline and improve internal procurement workflows and systemsTOOLS & SYSTEMS• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)• Studio Designer experience a plus• Integrated AI tools (e.g., Claude) for workflow supportQUALIFICATIONS• 1–3 years of experience in procurement or project coordination — experiencein an interior design or construction environment is a plus• Strong organizational and project management skills• Exceptional attention to detail and follow-through• Comfortable managing multiple moving pieces across different timelines• Clear communicator and ability to hold relationships with vendors and internal team• Tech-savvy and adaptable to new tools and systems• Self-motivated and able to work independently within a collaborative studio environmentESSENTIAL SKILLS & VALUES• Approaches problems with a solutions-first mindset• Thrives in a fast-paced, collaborative studio environment• Consistently upholds honesty and accountability in both independent and teamwork• Maintains professionalism and respect in communication with co-workers, leaders, vendors, andclients• Demonstrates exceptional organizational and note-taking skills with accurate follow through• Commitment to continuous learning and growthREQUIREMENTS• Must be willing to undergo a background check• Reliable transportation to and from our Laguna Niguel studio• Must be authorized to work in the U.S. — visa sponsorship is not available for this positionCOMPENSATION & BENEFITS• $45,000 – $50,000 per year• Health, dental, and vision insurance• 401(k)• Paid time off and holidays• Opportunities for growth within the company• Supportive team environment with exposure to all phases of design and construction projects• Energetic and inspired studio culture with regular team gatherings, celebrations and creative trainings.• In-studio kitchen stocked with snacks and beverages
