Fixed Operations Bodyshop Administrator
Department: Shared ServicesReports to: Fixed Operations Administrative LeadSalary: $22 - $26 Per HourJob SummaryThe Fixed Operations Bodyshop Administrators will support both bodyshops and reconditioning by closing out repair order tickets, processing payments, following up with insurance companies and maintaining schedules within the Dealer Management System.Core ResponsibilitiesDailyClose repair orders for internal, insurance, sublet and reconditioning tickets within DMS & CCCEnter insurance/ customer checks into DMS & CCCComplete general journal EFT payments in DMS & CCCSublet invoices to correct repair orders & scan invoices into CCCUnderpayment/ Overpayment adjustments within DMSContact customers and/or insurance to check on status of paymentsReview unposted bank transactions and ensure all transactions have been postedReview AR statementsProcess rental paymentsCreate a list of final supplements that need to be sent to insuranceValidate all CCC estimates against completed work and reconcile discrepancies before closingWeeklyReview open RO report and ensure they are closed in a timely mannerReview accounts within DMSMonthlyOne on One with Fixed Operations Team LeadMonth-EndEnsure all open RO’s that can be closed for the month, are closedQuarterlyReview accounts with Fixed Operations Team LeadYear-EndReview all accounts for bodyshops by end of January to ensure they are ready for auditIf any 12th month adjusting entries need to be completed, this needs to be communicated to Fixed Operations Team Lead by Dec 31st.Ensure account transaction descriptions and supporting documentation for bodyshop accounts are saved to the M drive for December GLOther ResponsibilitiesMaintain the integrity of the FTC regulationsComplies with the employee handbook, company, & departmental policiesCross trainingOrganizing and maintaining paperworkJob Requirements Strong analytical skills and a sense of urgency Previous automotive accounting experience preferred, but not necessary. Team player focused on efficiency and accuracy.
