About Voyage HealingWe are a growing psychiatric practice specializing in ketamine and Spravato® (esketamine) treatment for mood disorders. Our team is dedicated to providing compassionate, evidence-based care in a supportive, patient-centered environment. We are seeking a motivated, organized, and empathetic individual to join our clinic as a Patient Services & Billing Coordinator.Position OverviewThis role is a blend of front-desk operations, patient scheduling, billing and office operations support. The ideal candidate is someone who enjoys multitasking, thrives in a clinical setting, and is comfortable providing both outstanding patient experience and attention to detail to office operations.Key ResponsibilitiesFront Desk & SchedulingGreet patients and create a welcoming, professional environmentCheck patients in/out and manage daily patient flowVerify and update patient demographic and insurance information at each visitManage scheduling for psychiatric visits, ketamine/Spravato sessions, and follow-upsMonitor cancellations, waitlists, and appointment optimizationRespond to phone calls, text messages, voicemails, and patient messages.Maintain a welcoming, confidential, and HIPAA-compliant front office environmentBilling & Administrative Support Verify insurance eligibility, behavioral health benefits, and prior authorization requirements before each appointmentCollect copays and outstanding balances; assist patients in understanding their balancesAssist with prior authorization paperwork and benefit investigations Submit clean claims to commercial insurers, Medicare and more.Monitor claim status; follow up on denials, rejections, and underpayments in a timely mannerSubmit, track and follow-up on claimsMaintain accurate patient records and documentationTrack non-medical inventory levels; supply purchasingQualificationsStrong communication skills—professional, warm, and patient-focusedAttention to detail and commitment to accuracy in financial transactions and recordkeepingWorking knowledge of insurance verification, prior authorization, and claims submission processesExperienced with Google Business Suite (Docs, Sheets, Drive)Familiarity with EHR (Charm, Osmind etc), telehealth platforms, and scheduling systemsPrior experience in a medical office or behavioral health setting preferredExperience with Spravato or ketamine clinics is a bonusCompensation & BenefitsFull-time, weekday schedule. 9-5$23-$30 hourly rate, based on experienceHealth insurance Paid time off (PTO) and paid holidaysWhy Join Our Team?Supportive, mission-driven environmentOpportunities to grow as the clinic expandsMeaningful work helping patients navigate evidence-based treatments for depression and anxietySmall, collaborative team with a focus on quality care
