Operations Coordinator

Role OverviewWe are looking for an experienced Operations Coordinator to serve as the organizational backbone of our office. In this role, you will oversee the day-to-day functioning of our workplace, support our production teams, and ensure that staff — from full-time employees to freelance collaborators — have everything they need to do their best work. This is a hands-on, people-facing role that requires strong judgment, a proactive mindset, and a genuine commitment to keeping things running smoothly.Key ResponsibilitiesManage procurement and inventory of office supplies, anticipating team needs and maintaining appropriate stock levelsPlan, coordinate, and execute office activities and events, ensuring seamless logistics from start to finishFacilitate onboarding for new full-time and freelance employees, serving as a welcoming first point of contact and ensuring a smooth integration into the workplaceServe as the primary liaison with IT consultants, triaging issues and coordinating timely resolutionsOversee relationships with shared office service providers, including facilities, cleaning staff, and the on-site caféCoordinate on-site operational support for production teams, including supply logistics and space managementManage ongoing job postings and conduct preliminary resume screening to support active hiring effortsVet production assistant candidates and oversee staffing and scheduling of production assistants for eventsCoordinate production travel logistics, including accommodations, transportation, and itinerary managementWhat We're Looking For5+ years of experience in office management, operations, or a related administrative roleExceptional organizational skills and the ability to manage multiple priorities simultaneouslyStrong interpersonal and communication skills; comfortable interfacing with staff at all levels as well as external vendors and contractorsA proactive, solutions-oriented approach to problem-solvingProficiency with standard office and productivity toolsExperience supporting creative or production teams is a plusCompensationBase salary: $75,000-$85,000, commensurate with experienceProdject embraces and celebrates diversity, inclusivity, and equal opportunity.
