EHTP began in 1958 as a children's reading group and has since grown into a multi-site after-school program for traditional public school students and a network of public charter schools focused on significantly increasing the college graduation rate in East Harlem.At EHTP we also aim to serve as an agent of change and thoughtfully contribute to the national fight for racial equity. The Operations Manager plays a key role in ensuring a consistent experience for both families and staff as they matriculate through our schools. Operations Managers are the leaders in ensuring families have a number of joyful and informative touch points with the school and that students have events and trips to celebrate and extend their learning.Who You AreExcellent interpersonal and phone skillsExceptional oral and written communication skillsPointed discretion to keep sensitive information confidentialComprehensive knowledge of Microsoft Word, Excel and PowerPointWillingness to be flexible and attend to a variety of given tasksAbility to remain calm and effectively multitask in a fast-paced environmentAbility to effectively manage the school receptionistSpanish proficiency strongly preferredBachelor’s degree or higher in business administration/human resources, or equivalent experience preferred1-2 years in an operations-related role, school-based experience strongly preferredWhat Success Looks LikeResponsibilities of the Operations Manager will include, but are not limited to:Student Records and Data:Update contact information for students each trimester and distribute updated student contact information to faculty and staffMaintain internal class listsTrack absences, early dismissals and tardy students monthly to identify trendsImplement attendance procedures and produce daily, weekly, monthly and annual reportsCollect and submit data for Federal, State and City reportsComplete the bi-monthly tuition invoice reconciliations for enrollment and notify administration of changes in enrollmentEnsure compliance with FERPA guidelines for student records and ensure student permanent records are complete, up-to-date and confidentialCollect all medical and lunch forms, as necessary during enrollment, and liaise with the nurse and State, respectively to ensure full complianceAdmissions and EnrollmentPrepare for and attend recruitment fairs and visits, new student orientations, and other necessary parent workshopsRecord and analyze annual student attrition information to inform admissions openings for following school yearSupport the organization of the annual lottery process and follow through on lottery outcomes to ensure compliance with charter school admissions regulationsAssist in the organization of open-houses, student and family tours and new student orientationsOversee the enrollment process for informing families of the lottery results to receiving new student enrollment paperworkEnsure completion of Home Language Surveys for new entrants and analyze results in conjunction with the ELL Teacher to determine the administration of the Lab-R assessmentSchool AdministrationCoordinate mandated fire-drills with Director of OperationsAssist with administering the annual SUNY and DOE parent surveysCoordinate with the Office of Pupil Transportation (OTP) to establish bus ridership for all instructional days and Metrocards for eligible studentsPerform recess, lunch, arrival, and dismissal duties at the designated timesLiaise with the school nurse to ensure that all medical records are up to date and that necessary medical information is disseminated to school staffManage the school food services, including but not limited to, collection of lunch forms, submitting lunch counts to NYSED, ensuring compliance with all health regulations, ensuring smooth and efficient lunch services in all classroomsComplete other appropriate duties as assignedMain Office Oversight:Ensure a neat and tidy main officeManage the school receptionistOversee the general school logistics and tidinessBenefitsTwenty annual, accrued paid time off days to use in addition to the school breaks and holidaysMedical, dental, and vision insurance coverage (employee pays semi-monthly contribution)A 403(b) retirement savings plan with an employer-paid contribution after one yearLife insurance, paid parental leave, short-term and long-term disability coveragePre-tax commuter and transit plansFlexible spending health reimbursement accountsLongevity and referral bonuses for eligible employees based on years of service and successful referralsEligibility for federal student loan forgivenessEast Harlem relocation reimbursement Annual reimbursement for qualifying tuition or external professional developmentPlease note that the above benefits are subject to change at any time.Interview ProcessApplicationPhone InterviewIn-Person Demo Interview with Pre-WorkReference check DecisionPlease note that the above process is subject to change based on hiring team needs.
