Project Coordinator - COMMERCIAL CONSTRUCTION
A commercial flooring company known for craftsmanship and long-standing partnerships in the Austin market, is seeking a Project Coordinator to join their team in Austin, Texas. This role supports both estimating and project management functions, ensuring bids are tracked, documents are organized, and budgets are monitored from project kickoff through completion.
What You'll Do as the Project Coordinator:
Monitor and log bid invitations throughout the day using SmartSheet to support the estimating team
Coordinate with mill reps to request material pricing and flag large-quantity projects to leadership
Follow up with estimators and project managers on bid activity and material pricing
Prepare and manage submittal packages after project award, including ordering samples and reviewing responses from general contractors
Maintain up-to-date project data in SmartSheet and track daily tasks across internal teams
Communicate material lead times and alert stakeholders to procurement risks
Assist in monitoring job costs and project budgets, tracking RFIs, drawing revisions, and change orders
Coordinate material returns and credit memos with mills, reps, and the warehouse
Organize and maintain project folders and documentation
Must-Haves as the Project Coordinator:
2+ years in construction, flooring, or building materials coordination
Strong attention to detail with excellent organizational and communication skills
Experience with SmartSheet or similar project tracking tools
Familiarity with construction project documentation and timelines
Ability to multitask and meet deadlines in a fast-paced environment
Proficiency in Adobe Acrobat and Microsoft Office
Nice-to-Haves as the Project Coordinator:
Prior experience working with flooring vendors or mill reps
Background supporting estimators or project managers in the subcontractor space
Knowledge of SpecID or similar tools for product submittals
