Primarily, this individual will support all members of the Phoenix office, both administratively and substantively.ReceptionistAnswer incoming calls promptly, determine the purpose of the call and forward calls to the appropriate person or departmentEnsure any messages are accurately taken and delivered in a timely mannerScreen Managing Partner's and other attorneys' incoming calls, and screen for sales callsCheck voicemail on the general voice mailboxGreet visitors in person or on the telephone in a professional, friendly, hospitable mannerKeep the conference rooms clean and orderly, set up/take down for depositions and meetingsKeep inventory, order, and store all kitchen and general office supplies Keep the kitchen and refrigerators clean, orderly and stocked, load/unload dishwasherArrange for delivery of food for meetings, depositions, and events, set up/take downMaintain printers and copiers with supplies and coordinate serviceMaintain internal phone directoryAssist with library maintenanceCase file management including opening and closing files and maintaining databases, and preparing for and coordinating off-site storage, and shreddingSupport the office with calendar management, travel arrangements and expense reporting, credit card reporting, time entry, photocopying, scanning, faxing, filing, shipping, deliveries, mailing and mail logs, faxes, and equipmentLegal Assistant Responsibilities May IncludeWork with clients and class members to gather and convey informationAssist with class action and mass tort cases which includes initial intake screening on cases, post-sign up and vetting, and obtaining required evidence and recordsAssist with handling class member calls and emails regarding settlements and other class member inquiriesWork with medical providers and other entities to request, organize, and analyze medical records, accident reports, and other recordsAssist with managing and tracking litigation matters, including maintaining internal filesAssist with maintaining and searching Excel, Microsoft Access, and Everlaw databases Prepare materials for oral argumentsCourt filings, e-filings, and court courtesy copiesFile and scan documents in document management systemCollaborate and assist attorneys and paralegals with case work and support as needed, including proofreading and formatting pleadings, briefs, motions and correspondence; trial preparation, exhibits, witness materials, and trial logistics; discovery requests and responses including organizing documents and assisting with document productions, bates-stamping, redaction, and production logs; work with clients and class membersMiscellaneous duties and special projects as assigned.Requirements And QualificationsAbility to work independently, be resourceful, organize and prioritize workload, and adapt to changing priorities.Ability to follow written and verbal instructionsAbility to perform under tight deadlines and maintain patience in high pressure situations.Excellent attention to detail.Expert knowledge of Microsoft Office (Outlook, Word, Excel) and Adobe required. Ability to work collaboratively in a team environment.Excellent interpersonal, organizational, planning, verbal and written communication skills including spelling, grammar, and proofreading skills.Must manage highly confidential information with professionalism and unquestionable integrity.Bachelor’s degree preferred.Preference for prior experience as a Receptionist, Legal Assistant, Legal Secretary, or Executive Assistant.Understanding of advanced legal concepts and terminology, formats and Blue Book citations, knowledge of federal court rules and procedures, ECF and other e-filing systems a bonus.Full time employees become eligible for several benefits on the first of the month following hire, including medical, dental, vision, HSA, life insurance, AD&D, EAP, 401K, LTD and STD.
