Production Manager

Please FiDi is seeking an energetic Production Manager for The Conservatory at One Sansome, a luxurious, modern event venue featuring a full tenant amenity area and a business hub in the lobby of a Class A building, alongside our sister property, The Holbrook House, a high touch restaurant and bar in the heart of the Financial District. The ideal candidate is not only well versed in all facets of hospitality, but also brings passion, creativity, and enthusiasm for bringing event visions to life. The Production Manager will be responsible for coordinating all event elements and logistics by collaborating closely with our internal teams as well as planners, clients, and industry partners throughout the planning process to ensure expectations are met at every level. This role manages all aspects of event production for a wide range of experiences, including but not limited to corporate events, nonprofit functions, weddings, and social events. ESSENTIAL FUNCTIONS PRODUCTION Foster and maintain existing relationships with clients as well generate new contacts. Work in conjunction with sales team to ensure alignment of client expectations and ongoing coordination among all types of events. Lead site visits with planners and clients, manage seamless coordination across all stages of the planning process and ensure attentive, hands-on support during event execution. Work with planners and clients on venue set up and vendor management. Foster and maintain good relations with industry partners while always looking for new connections providing services in line with the brand. Collaborate with food and beverage teams to ensure alignment on menu selections, product details, special requests, and service expectations. Source and manage outside vendors as required, ensuring cohesive pre-event preparation and smooth post-event wrap up. Manage pricing and fees at competitive levels. Collect current COI information from all vendors per event. Work with planners to establish and maintain day-of timelines with all contracted vendors. Coordinate load ins/outs adhering to all building and venue SOP’s and parameters. ADMINISTRATIVE Participate in weekly Banquet Event Order (BEO) meetings and other internal team meetings as necessary. Respond to internal and external email messages, inquiries and phone calls in a timely manner. Ensure all BEO’s are accurate and detailed with food and beverage packages, timelines, both client and vendor needs, set up information, internal notes and instructions as well as any other line-item costs and pertinent information. Ensure all information on BEO’s and floor plans are updated and distributed internally in a timely manner, meeting all deadlines each week leading up to the day of the event. Review and submit all events related invoicing in timely manner. Assist in maintaining equipment pars and ensure in-house inventory can fulfill event needs. Work closely with the Event Managers on day-of-event on overall event expectations and execution, manage and maintain timelines, etc. Constant communication with internal teams to ensure cohesiveness.
