POSITION OVERVIEWThe Executive Assistant to the President & CEO provides comprehensive high-level administrative and operational support to ensure the effective management of the President’s & CEO’s office. This role operates with the highest degree of professionalism, confidentiality, and discretion, serving as a trusted partner in managing executive priorities, communications, and daily activities. As a key strategic partner and gatekeeper, the Executive Assistant manages complex and highly sensitive matters, balances competing priorities, and ensures the President & CEO’s time and focus are optimized. The role builds strong working relationships across the organization to facilitate communication and execution while maintaining a collaborative, solutions-oriented approach.This is a full-time position located in Bloomfield Hills, Michigan. The incumbent is expected to be in the office 5 days per week. PRINCIPAL RESPONSIBILITIESDuties and responsibilities include, but are not limited to: Executive Support to President & CEOManages the President & CEO’s complex calendar with a high degree of accuracy and discretion, including scheduling internal and external meetings, balancing competing priorities, and serving as a strategic gatekeeper.Provides high-level administrative support, including managing executive communications, drafting, editing, and responding to correspondence and documents, and maintaining organized filing systems in alignment with organizational standards.Manages the President & CEO’s email inbox, including drafting, editing, and responding on behalf of the executive while ensuring timely, professional communication and appropriate message prioritization.Represents the President & CEO in meetings, ensuring priorities are communicated, decisions are captured, and action items are documented and followed through to completion. Prepares the President & CEO for internal meetings by developing agendas and briefing materials, providing context and reminders, and tracking and communicating follow-up actions. Coordinates and supports the President & CEO’s external commitments, including service on other boards and representation and speaking roles at hosted, sponsored, and other special events and conferences, by managing logistics, preparing briefing materials, and proactively resolving issues.Partners with the Board Engagement & Communications team to maintain the shared events calendar and ensure the President & CEO’s external engagements and event participation are accurately reflected. Prepares, completes, and submits the President & CEO’s expense reports, including maintaining records of purchase receipts and cash expenses.Communicates on behalf of the President & CEO with Board Members and other high-profile external stakeholders, ensuring professionalism, discretion, and alignment with executive priorities.Ensures consistent use of administrative systems and tools and remains current on platforms such as Salesforce, guest management systems, and internal collaboration tools to support efficiency and effectiveness.Supports special projects and strategic initiatives as assigned by the President & CEO.Salesforce SupportMaintains accurate and current records in the Foundation’s Salesforce CRM system to support the President & CEO’s activities and engagements. Ensures data consistency and integrity by adhering to established data entry standards, naming conventions, and internal protocols. Identifies and escalates data quality issues or discrepancies to the appropriate internal contact in support of ongoing data governance efforts. Uses Salesforce dashboards and reports to track activity, monitor progress, and support informed decision-making.Administrative Team CollaborationParticipates in weekly Administrative Team meetings to review and coordinate organizational and executive calendars. Submits detailed meeting support requests to Office Management to support the effective planning and execution of foundation meetings. Provides cross-functional support and backup coverage for the Executive Assistant, Office of Vice President & COO, as needed.PROFESSIONAL EXPERIENCE & REQUIREMENTSBachelor’s degree strongly preferred, not required.Minimum of 5–10 years of progressive administrative experience, including support of C-level executives, preferably within a nonprofit organization.Demonstrated alignment with the Foundation’s mission and values, including a genuine commitment to honoring Mr. Davidson’s legacy.Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.Technologically proficient, with the ability to leverage systems and tools to enhance efficiency and effectiveness; proficiency in Zoom required.Experience with Salesforce or other CRM systems preferred.Exceptional professionalism, responsiveness, and commitment to a high-quality service.Proven ability to handle sensitive and confidential information with integrity, discretion, and sound judgment.Strong critical thinking and decision-making skills, with the ability to anticipate executive needs, identify challenges, and proactively develop solutions with minimal direction.Excellent organizational, multitasking, and time management skills, with the ability to manage competing priorities and meet deadlines in a fast-paced environment.Highly resourceful and adaptable, with the ability to work independently and collaboratively. Ability to follow and reinforce administrative processes and systems that support consistency and operational effectiveness.Strong sense of ownership and accountability, with the ability to independently manage priorities and deliver results.Ability to work in a professional office environment, with regular in-office attendance and sedentary work required.RELATIONSHIPSReports to and is accountable to the President & CEO. Works closely with the Administrative Team and the Board Engagement and Communications team to ensure alignment and coordination.Collaborates effectively with Foundation staff across all functions. Builds and maintains positive working relationships with Foundation grantees, external vendors, and other key stakeholders.
