Executive Assistant / Operations Manager📍 Location: Washington, DC 20004 (Hybrid)📅 Duration: 6 MonthsPosition OverviewWe are seeking an experienced Executive Assistant / Operations Manager to provide high-level administrative, operational, and financial support to executive leadership. This role combines the responsibilities of an Executive Assistant, Office Manager, and Operations Coordinator, requiring exceptional organizational skills, professionalism, discretion, and a strong accounting and budget management background.The ideal candidate will have extensive experience supporting senior executives, managing complex calendars and travel arrangements, coordinating office operations, overseeing budgets and invoices, and serving as a key liaison across departments and external stakeholders.Work ScheduleOnsite: Tuesday, Wednesday, and ThursdayRemote: Monday and Friday (subject to business needs)Occasional onsite presence may be required on Mondays and Fridays for meetings, events, or executive visits.Key ResponsibilitiesExecutive & Administrative SupportProvide comprehensive administrative support to executive leadership and departmental teams.Manage complex calendars, scheduling, conference room reservations, and meeting logistics.Coordinate domestic and international travel arrangements, itineraries, and accommodations.Prepare agendas, presentations, meeting materials, and executive correspondence.Maintain confidentiality of highly sensitive information and communications.Welcome and assist guests, visitors, and stakeholders with professionalism and discretion.Operations & Office ManagementSupport onboarding logistics and office orientation activities for new hires.Manage office operations, supplies, facilities coordination, and vendor relationships.Serve as the primary liaison with building management and corporate facilities teams.Maintain organized electronic and physical filing systems and records.Coordinate departmental communications and reporting activities.Financial & Budget AdministrationSupport development and management of departmental budgets.Process invoices, membership dues, requisitions, and procurement requests.Prepare and submit executive expense reports accurately and on time.Conduct monthly budget reviews and assist with financial reporting.Review intercompany billing requests, invoice processing, and transaction documentation.Assist with monthly P&L variance analysis and financial reconciliations.Ensure compliance with accounting policies, internal controls, and audit requirements.Identify opportunities to improve financial processes and operational efficiency.Stakeholder ManagementBuild and maintain strong relationships with executives, employees, vendors, and external partners.Collaborate across departments to support business objectives and organizational initiatives.Serve as a trusted point of contact for administrative, operational, and financial matters.Required QualificationsBachelor’s Degree in Business Administration, Finance, Human Resources, Marketing, or a related field (Master’s Degree preferred).Minimum 10 years of professional experience in executive administration, office management, operations management, or a similar role.Strong accounting, budgeting, invoice processing, and expense management experience.Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Exceptional organizational, communication, and multitasking skills.Strong attention to detail and accuracy.Ability to manage confidential information with discretion and professionalism.Experience supporting senior executives and leadership teams.Ability to work independently and manage multiple priorities in a fast-paced environment.Willingness to work occasional overtime as needed.Preferred QualificationsProfessional Assistant Certificate of Excellence or similar certification.Experience supporting executive leadership within government affairs, corporate affairs, or highly regulated environments.Experience with procurement, vendor management, and financial reporting.Experience interacting with senior government officials and executive stakeholders.ApplyInterested candidates are encouraged to submit their resume to:📧 vkatta@radiants.com
