Office Manager
4 2 Restore, LLC is seeking a committed, motivated, and compassionate individual to fill a contractual position as an Office Manager of the Psychiatric Rehabilitation Program (PRP) located in Windsor Mill, MD. The Office Manager will organize and coordinate office administration and procedures, to ensure organizational efficiency, effectiveness, and safety. The Office Manager is responsible for developing intra-office communication protocols, inventory control, management of client information, company information, scheduling services, and providing executive support with little or no supervision.
To perform this job successfully, an individual must be able to satisfactorily perform each essential function listed below:
Organize and coordinate office administration and procedures, to ensure organizational efficiency, effectiveness, and safety
Responsible for developing intra-office communication protocols, inventory control, management of client information, company information, scheduling services and providing executive support with little or no supervision
Answering incoming calls and ensuring client satisfaction during each call
Be the point of contact for maintenance, mailing, shipping, supplies, equipment, bills, and errands
Organize, schedule, and maintain meetings and appointments for management
Maintain office policies as necessary
Organize office operations and procedures
Proficient in Microsoft Office 365 (OneDrive, Word, Excel)
Proficient in Adobe Acrobat
Maintain client spreadsheets and corresponding documentation
Coordinate with IT on all office equipment
Provide general support to visitors
Manage executives\' schedules, calendars, and appointments
Assist with attending appointments/meetings with management
Dictate notes from all meetings with management, including Monday night Staff meetings
Make follow up calls from all appointments with management
Schedule/Reschedule appointments/meetings for management
Assist with marketing and all company events
Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored
Responsible for payroll for new and existing Staff
Responsible for Human Resources
Responsible for providing orientation and training to new/existing Staff
Responsible for company files ensuring Medicaid/CARF/BHA/OIG compliance
Make sure office is always clean/sanitized
Take notes at weekly/monthly mandatory agency staff meetings
Requirements: Master\'s Degree in Education, Rehabilitation, or related field
2-yrs. of of Office/Administrative experience
2-yrs. of of Medical Billing experience
Must submit to and pass Pre-employment Drug Screening
Completed Criminal Background Check
Completed CPR/First Aid training
Hiring Bonus: $1,000.00 after a 90-day Satisfactory Evaluation.
