Machine Shop Office Manager

Overview We are seeking a dedicated and organized Machine Shop Office Manager to join our team in Machesney Park, IL. In this role, you will play a crucial part in ensuring the smooth operation of our machine shop by managing administrative tasks, coordinating schedules, and supporting our skilled workforce. Responsibilities Oversee daily office operations and ensure efficient workflow within the machine shop. Manage scheduling and appointment setting for staff and equipment usage. Maintain accurate records of inventory, orders, and production schedules. Customer Order Entry and expediting Coordinate communication between management, staff, and clients. Assist in the preparation and retention of reports and documentation as needed. Implement and maintain office procedures and policies to enhance productivity. Support the hiring process by coordinating interviews and onboarding new employees. Handle customer inquiries and provide exceptional service to clients. Assist in obtaining outside processing quotes Track outside operations open orders and expedite when needed Qualifications High school diploma or equivalent; associate’s or bachelor’s degree in business administration or related field preferred. Proven experience in an office management or administrative role, preferably in a manufacturing or machine shop environment. Strong organizational skills and attention to detail. Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software. Ability to multitask and prioritize effectively in a fast-paced environment. Basic understanding of machine shop operations is a plus.
