Congregation B’nai Torah is a warm, inclusive Jewish community serving families in the Westminster area. We are a volunteer driven congregation focused on connection, learning, and meaningful Jewish life. We are seeking a highly organized, proactive Operations & Administrative Coordinator to support day to day operations and help keep the community running smoothly.
Position Overview
The Operations & Administrative Coordinator is a hands on role focused on coordination, organization, and execution. This person will help manage communications, scheduling, events, volunteers, and routine administrative tasks, and will provide critical operational support to clergy and lay leadership. Most job functions can be accomplished virtually but we are looking for this role to be onsite in Westminster every other Friday evening and other special events as needed/available.
This is not a facilities management or senior leadership role.
Key Responsibilities
Administrative & Office Support (40%)
Manage the synagogue calendar and coordinate scheduling with the church and internal stakeholders
Monitor and respond to general email and phone inquiries
Conduct follow up communication to visitors and prospective members
Send weekly email communication to the congregation
Maintain basic records and lists (membership, volunteers, contacts, etc.)
Track tasks and follow ups to ensure completion
Event & Program Coordination (40%)
Coordinate logistics for services, events, and programs (setup, teardown, supplies, volunteers)
Support potluck event scheduling and coordination
Ensure spaces and materials are prepared for events
Create simple checklists and processes to improve consistency
Manage inventory of food/beverage or holiday-related supplies
Schedule security
Volunteer Coordination (10%)
Help schedule and remind volunteers of duties
Create and maintain volunteer sign up sheets and follow ups
Help onboard volunteers into roles
Review committee meeting notes and help determine, communicate and remind others of next steps/action items needed.
Operations & Process Support (10%)
Create and maintain simple systems and routines
Document basic processes
Coordinate with vendors and service providers as needed
Serve as a point of coordination between clergy, board, and volunteers
Qualifications
Strong organizational and follow through skills
Comfortable juggling multiple priorities
Good written and verbal communication
Comfortable with Google Workspace, SignUp Genius, email platforms like Mailchimp or similar tools
Experience in admin, office coordination, nonprofit, school, or community organizations is a plus
Experience in a synagogue or religious setting is helpful but not required
Reliable, proactive, and detail oriented
Compensation & Structure
Approximately $20/hour
10-20 hours per week, will vary based on events
Part time position
Pay: $18.00 - $20.00 per hour
Expected hours: 15.0 – 20.0 per week
