ARLINGTON PUBLIC SCHOOLSARLINGTON, MASSACHUSETTS 02476JOB DESCRIPTIONPOSITION: Administrative Assistant - Special EducationJOB GOAL: Provide personal administrative support to the administration through conducting and organizing administrative duties and activities including receiving and handling information.QUALIFICATIONS: This person should possess a consistent demonstration of effective interpersonal relationship skills, which will enable him/her to interact in a professional manner with students,families, state agencies, attorneys, and staff.Degree in any field from an accredited institution and/or relevant training or certification in office administration is preferred.General knowledge of standard office procedures that includes a variety of clerical and secretarial duties.Proofreading skills for correcting grammar, punctuation, and spelling errors of typed material and for proper format, accuracy, and completeness.Ability to use independently and stay current with a variety of computer applications, i.e. Microsoft Office, PowerSchool modules, EasyIEP, Munis, Global Search (Konica Minolta), UMass School-Based Medicaid Program (SBMP) claiming site, MassGov site for verifying staff licenses & other software programs, and to navigate on- line environments effectively with little supervision in a manner necessary to complete tasks assigned.Ability to prioritize tasks and work assignments is essential, particularly in this fast-paced environment with frequent interruptions and regulatory deadlines.Capacity to work in a confidential mannerA moderate degree of independent decision-making and knowledge of the function of the work environment.Knowledge of IEP processes, documentation, and other regulatory requirementsPERFORMANCE RESPONSIBILITIES:Open, date stamp and distribute all office incoming mail.Administrative assistance to Assistant Superintendent of Student ServicesScreen incoming phone callsSchedule meetings/appointmentsAssist Asst Superintendent and outside special education Counsel with collection of documents and redaction of student records pertaining to legal casesAssist Asst Superintendent with all correspondence with DESE, ex. Integrated Monitoring Review (IMR), Bureau of Special Education Appeals (BSEA), Problem Resolution System (PRS), and various audits as required by DESEField incoming parent calls.Process Individual Education Program (IEP) paperworkAssist Special Education Parent Advisory Council (SEPAC) with mailings, workshops, etc. as directed by Asst SuperintendentRespond to requests for student records.Coordinate hospitalization tutoring and invoicesAssist Special Education Coordinators with projects as neededAssist with the data collection process, including SIMS reporting dataAssist transportation director with communications to parents regarding transportationCollaborate with administrators, faculty and administrative assistants to effectively support the operation of the Arlington Public Schools.Perform other reasonable and related tasks and responsibilities as assigned by the Special Education Assistant Supt or Special Education CoordinatorsOrder Office supplies for office and the transportation departmentTERMS OF EMPLOYMENT: 35 hours per week, 52 weeks per yearREPORTS TO: Assistant Superintendent of Student ServicesSALARY/BENEFITS: In accordance with AEA Unit C Contract
