To learn more, visit comenear.org.This role is required to sign and comply with the organization’s Statement of Faith.POSITION SUMMARYCome Near is seeking a highly organized and dynamic Executive Assistant to provide comprehensive support to The Chief Investor Relations Officer and her direct reports. This role is pivotal in managing the executive office's operations, facilitating effective communication, and ensuring smooth execution of daily administrative tasks. The Executive Assistant will be instrumental in coordinating schedules, organizing meetings, managing correspondence, managing expenses, booking travel, and maintaining confidentiality of all sensitive information. ESSENTIAL DUTIES AND RESPONSIBILITIESAdministrative Support:Manage the assigned calendars, including scheduling meetings, appointments, and travel arrangements to ensure optimal time management.Manage emails, and other communications, responding when appropriate to ensure timely and professional communication.Prepare and edit correspondence, communications, presentations, and other documents on behalf of the team members supported. Seamlessly manage communications with investors and their staff.Meeting and Event Coordination:Seamlessly manage technology set-up for all Investor Relations events as well as for all day-to-day communications.Organize and coordinate internal and external meetings, including setting agendas, taking minutes, and ensuring all participants have the necessary information beforehand.Manage coordination for the investor relations team, including venue arrangements and material preparation.Coordinate special events and conferences by partnering with the Director of Events, overseeing all detailed preparations to ensure successful execution.Document Management and Reporting:Maintain confidential files and documents, ensuring they are stored securely and accessible to authorized personnel only.Assist in preparing reports and presentations for board meetings, as required, and other executive communications.Monitor and manage expenses for the Investor Relations team, including processing expense reports and budget tracking.Project Management:Assist with various projects as needed, ensuring tasks are completed within timelines and project goals are met.Serve as a liaison between the C-Suite member supported and other departments, facilitating smooth information flow and coordination of efforts.COMPETENCIESSuperior Organizational SkillsProfessionalism and ConfidentialityEffective Communication and People SkillsTime Management and MultitaskingDiligenceInitiative-taking Problem Solving EDUCATION AND EXPERIENCEBachelor’s degree in business administration, Communication, or related field.Minimum of 3-5 years of experience in an executive support role, preferably within a nonprofit or corporate setting.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with adopting new software and technology.Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.Effective communication skills, both written and verbal, with an ability to correspond on behalf of executives.Elevated level of discretion and confidentiality, able to manage sensitive information with integrity.Initiative-taking and independent, able to anticipate needs and act without direct supervision.Excellent people skills, with the ability to interact effectively with all levels of staff and external contacts.Personal Attributes:A personal relationship with Jesus and a passion for Come Near’s mission.A heart for service, humility, and collaborative leadership.An initiative-taking, meticulous approach to planning and execution
